Surplus Computer Equipment (Phase 1)
ETS is piloting a new, centralized process for surplus, refurbishment (when appropriate), and recycling of University-owned computer equipment. The goals are:
Reduce stockpiles of unmanaged devices across campus
Ensure secure data stewardship and sanitizing
Provide consistent tracking and documentation suitable for audit, compliance, and reporting.
Current Status
Phase 1 is in trials now. During this pilot period, ETS is internally testing the process with a limited audience. The information listed below is being provided to help prepare Departments and Colleges for what to expect. Updates will be shared as the pilot program matures and Phase 2 approaches.

How to get your gear to us
Three ways to do your part
1) Walk-In Drop-Off (≤ 5 items)
Bring eligible items to the Tech Team Computer Clinic in i117 Ira Allen Chapel.
No ticket required - the Clinic techs will create a FootPrints ticket at drop-off.
2) Print & Mail Transport (5+ laptops or small to medium loads)
FootPrints ticket required - The Hardware Team will respond to the ticket and work out details with you
Items must be labeled and placed in your outgoing mail area
Print & Mail transports items to ETS
ETS covers Print & Mail fees during Phase 1
3) Bulk Loads (6+ items or multiple desktops)
FootPrints ticket required - The Hardware Team will respond to the ticket and work out details with you
Scheduling required (bulk loads are coordinated before transport)
What happens?
Once equipment arrives, ETS:
Records and/or updates intake information in FootPrints
Updates UVM's asset records for managed equipment
Performs secure data wipe and system re-imaging
Evaluates systems for re-deployment where appropriate; otherwise prepares them for external donation or responsible recycling
Data security note: Departments may wipe devices first if they choose, but ETS will perform this again as part of the standard process.
