Bed Swaps
Bed swaps involve an equal number of people (1-for-1, 2-for-2, or 3-for-3) swapping places. You cannot swap places with an empty space. Bed swaps will open just before the fall semester begins and can be done at any time during the academic year. Here's how to begin the bed swap process:
- To complete a bed swap, you must have consent from all residents of both rooms.
- One of the students swapping should submit the Bed Swap form in their housing portal, providing the name and NetID of the student they’re requesting to swap with and the room they’re requesting to swap to.
- This student’s Office Coordinator will review the request. If you are eligible for a bed swap, you will receive an email from your Office Coordinator prompting you to agree to the bed swap. ALL students in both rooms must agree to the swap (your roommates, the person you are requesting to swap with, and their roommates).
- Once all students have agreed, the Office Coordinator(s) will work with the students swapping to arrange a time to move and exchange keys.
Room Change Request
Requesting a Room Change
Requesting a Room Change is the first step to receiving a room change offer. The Room Change Request Form opens on the Add/Drop deadline each semester. Please keep in mind that we process and offer room changes based on space availability, and this process may take up to a month or more. Here's how to begin the Room Change process:
- Log in to your housing portal and submit the Room Change Request form.
- Check your UVM email regularly for a room change offer. Offers have an expiration date, so check your email often!
- If we have a space available to offer, you will receive an email offer letter. This email will include the current resident(s) of the room, room type, and room number.
- You will have 72 hours to accept or decline this offer.
- Please be sure to reply all to this email to let the Office Coordinator know, they will prepare the key and provide CatCard access!
- If you do not reply to decline the room, you will not receive another offer
- You will work with the Office Coordinator of your new building to pick up your new room key and will then have 72 hours to move your belongings and return your old room key to the Office Coordinator of your old building.
- Please note:
- You can always view the room before you decide if you want the space—check details in your room change offer.
- Room changes may not be possible in some buildings or communities.
- Please note that the room change wait list rolls over from fall to spring semesters, so you may be on it already.
Room Vacancies
Pull in a Friend
If there is a vacancy in your room, you may have the opportunity to request someone to move into that space. The Pull In form will open shortly before the fall semester begins and remain open throughout the academic year. Please note that not all vacant spaces are eligible for pull-ins. We may require vacant spaces for administrative or emergency moves.
Here's how to request to Pull In a friend:
- Submit the Pull In Request Form on your housing portal, providing the name and NetID of the student you wish to pull in. Note: This must be a current UVM student who is living on campus.
- If you are living in a triple or a quad and have other roommates, they need to submit this form as well. Suitemates do not need to submit this form.
- If your request is able to be processed, your requested roommate will receive an email offer letter, which they will have 72 hours to accept. Please be sure to reply all to this email to let the Office Coordinator know, they will prepare the key and provide CatCard access!
- Your requested roommate will work with the Office Coordinator of your building to pick up their room key and then will have 72 hours to move their belongings and return their old room key to the Office Coordinator of their old building.
Your friend should not move in with you until:
- We have approved the request, and they have received an email from us.
- They have completed the necessary steps specified in the email.
Please note:
- Students do not have to be in the same learning community to be pulled in.
- Your intended roommate may not necessarily be eligible for a room change, depending on their student status or factors such as SAS accommodations.
- Your current building location might not be eligible for certain room changes.
Wait for a New Roommate
If you do not have a roommate preference:
- If you have a vacancy in your room, this space may be used to place a new student. You will be copied on the emails sent to students offering them the empty space in your room.
- When a potential new roommate contacts you, please respond!
- Students who receive a room change offer may be escorted by a UHDS staff member to visit the room. If you are not at home, the UHDS staff member will key in.
- Room visits usually occur 24 hours after the offer is sent. In some situations, we may need to view the room or move someone in with less/no additional notice to you.
- Although it’s always good to connect beforehand, please be aware that a new roommate can still move in without meeting you first.
Always be ready for a new roommate:
- Do not spread your things all over: keep your own belongings in a clearly defined area.
- Keep the second set of furniture open and accessible for a new roommate.
- Students in half-empty rooms who do not provide open, equal, and welcoming space, or display inappropriate behavior towards a new roommate—requirements of your housing and meal plan contract—will be referred through the Terms and Conditions (TAC) process with their hall staff.
