Microsoft 365 – Licensing and Affiliation

UVM provides Microsoft 365 services to active employees and students through a long-standing campus-wide agreement. These services include access to tools like Outlook, OneDrive, Teams, and the Office suite. However, these licenses come at a cost, and we are working to ensure that our licensing strategy is both sustainable and aligned with the university’s mission. The two primary license levels are described briefly below.

A3 License

Assigned to most active employees and students. Features include:

  • Access to Microsoft 365 online services
  • Desktop versions of MS Office 365 applications
  • 100 GB Email mailbox quota
  • Up to 1 TB OneDrive storage
A1 License

Assigned to former or less active affiliates (Temporary, Affiliated Organization Employees, Non-salaried faculty, Retirees, and others). Features include:

  • Access to Microsoft 365 online services
  • Web-only versions of Office applications
  • 50 GB Email quota
  • 100 GB OneDrive storage quota
Not actually free

Although UVM doesn’t pay a license fee for A1 licenses, we do have to pay for the storage of those license holders’ email, OneDrive, and other content.

Add-On Licenses

Some services are not included in our campus agreement and require separate licenses:

  • Power BI
  • Project / Planner Premium
  • Teams Premium
  • Visio

LCOM Users

If you are a faculty or staff member who primarily uses LCOM services and accounts, your UVM account will be changed to an A1 license to avoid duplicate licensing costs. We determine this by looking at your email forwarding status. If you are forwarding all of your mail to an LCOM account, we will reduce your UVM license to an A1.

Active Retired Faculty

Retired employees receive a Microsoft 365 A1 license. Emeriti Faculty needing continued access to Microsoft 365 A3 license may apply for Active Retired Faculty status through a formal process described here:

For Emeriti Faculty, this option is preferred over the exception process described below.

Exceptions

If you believe you need an A3 license but currently have an A1, you may request an exception through the following form: https://go.uvm.edu/m365licenserequest

  • Manager Approval Required: As part of our approval process, your manager will automatically receive a request to validate your submission.
  • Maximum Duration: The maximum timespan for which we currently offer exceptions is one year. You will receive a notification before your license exception expires, and you can request a new exception at that time.
