Division of Finance and Administration
As of 10/14/26, UVM is using PaymentWorks, a secure online supplier management platform, to collect, validate, and maintain supplier information and support UVM's transition to electronic payment methods.

UVM’s New Supplier Onboarding Process

Suppliers will submit their tax, banking, address, and other required information directly through PaymentWorks. This reduces the need for UVM employees to handle sensitive information while helping UVM maintain accurate supplier records, strengthen fraud prevention, and streamline onboarding.

What this means for UVM employees

The New Supplier Request form in PeopleSoft is being simplified. Employees will complete fewer fields and will no longer need to obtain or submit W-9 forms or supplier banking information. Suppliers will provide that information securely through PaymentWorks.

What Employees Need to Do Going Forward

  1. Submit the New Supplier Request. Continue to submit a New Supplier Request in PeopleSoft before a supplier provides goods or services.

  2. Help suppliers recognize the invitation. Suppliers may contact the UVM employee they are working with to confirm that the email invitation is legitimate. Please assure the supplier that the PaymentWorks invitation is an authorized UVM communication and should be completed. For reference, see a sample invitation.
  3. Allow onboarding to be completed. The supplier must register and complete the required validation steps before the supplier is approved for payment.

How the Process Works

  • A UVM employee submits a New Supplier Request in PeopleSoft.
  • The Disbursement Center reviews the request and sends a PaymentWorks invitation when appropriate.
  • The supplier securely completes the registration and provides the required information.
  • PaymentWorks performs applicable tax, address, banking, and sanctions checks.
  • The Disbursement Center reviews the registration and completes or updates the supplier record in PeopleSoft.

Benefits to UVM suppliers

  • Validation of banking and address information (to reduce fraud)
  • Ability to directly update banking and address information when changes are necessary
  • W9 automatically created
  • Ability to review invoices and payment information
  • Early payment option available through ePayment/virtual card selection
  • No cost to use the portal
  • Ensures compliance with government sanctions lists

As always, requests for new suppliers happen BEFORE the supplier provides the goods or services.

Please note: This does not replace the New Supplier Request in PeopleSoft. Your new supplier request will help Disbursement determine if an invitation to PaymentWorks should be sent to the new supplier.
