If you record or create videos at UVM, those videos must have fully accurate closed captions in order to be accessible. Here are some ways to record videos, create fully accurate captions, and post the video plus caption file to some commonly used video hosting platforms.

Using Microsoft Teams

Body
  1. Go to Calendar > Meet Now

  2. Record video and transcription. 

  3. After the meeting ends, go to the chat and click on View recap

  4. To download the video (.mp4) click on Manage > Download

  5. To download the caption file (.vtt) click on Transcript > Download > Download as .vtt

  6. You can edit the captions here or open the .vtt file in a plain text application.  

Using Screenpal

Body
  1. Go to ScreenPal’s UVM access page

  2. Select Launch the Recorder and record a video. 

  3. Select the edit button (A clapboard with a pencil). 

  4. Under Show, select +Captions > Speech-to-Text > Start

  5. Edit the captions. 

  6. Expand Caption Text > Export As… > SubRip Captions File (.srt) > OK

  7. Select the Download button. Leave the file type as an MP4 and change Open Captions to None by unselecting the language. 

  8. Click Publish to begin exporting the video file. 

Uploading Videos and Captions at UVM

Using UVM Streaming

Body
  1. Go to the UVM Streaming homepage.

  2. Click on the Upload Media tab. 

  3. Add a title, description, and one or more tags, then Upload Media

  4. To upload captions, go to My Media > Edit

  5. Click on Browse and choose your .srt or .vtt file. 

  6. Then Save Changes

  7. The page should update and you can see that the ‘Make this the default caption’ option is selected. 

Using YouTube

  1. Click on +Create > Upload video. Then select the video to upload. 

  2. YouTube requires that you indicate if the video is made for kids. 

  3. Click Next. Then under Subtitles click Add. 

  4. Then Upload file (SRT or VTT) and choose With timing, and then Done when finished. 

  5. You can also edit captions here if not already done so. 

  6. Click through the rest of the prompts and click Save

Using Brightspace

You can bring videos into Brightspace with captions in one of two ways: by embedding, or by uploading.

Embed a Video in Brightspace

If your video is hosted elsewhere, such as on UVM Streaming or YouTube:

  1. Click Upload/Create and choose either Video or Audio 

  2. Under Web Video or Audio, enter the URL to the video

  3. Then Save

Upload a Video to Brightspace

If you want to host your video in Brightspace as well as including it in course materials:

  1. Choose the “Upload / Create” button. Choose “Video or Audio” from the dropdown menu. Go to “Upload” and upload just the .mp4 video file. Videos need to be 2GB or smaller.
  2. When your video uploads, you will need to give it a unique and descriptive title.
  3. Use the scroll bar on the righthand side of the video frame to scroll down, so you can see the “Advanced Editing” link under your video draft. Click on “Advanced Editing”.
  4. Advanced Editing will give you two choices: Table of Contents, or Closed Captions. Click on Closed Captions.
  5. From there, you will have the option to Upload a Closed Caption file. Brightspace will accept .vtt files or .srt files. Brightspace will let you edit either type of file right in the upload window.
    1. .vtt files have some artifacts in them
    2. .srt files do not
    3. Both files will need reviewing, and editing to make sure you indicate different speakers, spell all the words correctly, define acronyms as necessary, and add in any missing non-dialogue noises.
  6. When you are finished editing your closed caption file, click the large blue “Finish” button at the top right of the editing box. Brightspace will ask you to confirm that you have finished editing.
  7. Brightspace will then give you the message: “Finished and published successfully.”
  8. Save your video, and then wherever you use the video, it will have closed captions available via the Settings cog.

Human-Edited Captions Make Captions Accessible

UVM uses the U.S Department of Education's Described and Captioned Media Program's guidelines for ensuring captions and transcripts are fully accessible.

Checklist:
Indicate different speakers
Spell all the words correctly
Define acronyms as necessary
Add in any missing non-dialogue noises
