How to schedule an exam at the EPC, along with scheduling deadlines for the FY27 academic year. Changes effective August 25, 2026.

Exam Proctoring Center Scheduling Policies

1. Students must schedule exams a minimum of 7 days before the exam date.

Body

Students must schedule their exams a minimum of seven days, or 168 hours, prior to their exam date. 

Example: A 9:00 AM EST exam on Thursday must be fully booked no later than 8:59 AM EST on the previous Thursday.

We recommend students book all of their exams at the beginning of the semester, as cancellations and rescheduling requests can be handled at a later date.
 

2. The EPC is not able to schedule late exam requests.

Body

The EPC is not able to schedule late exam requests. If students miss the seven day (168 hour) deadline, they are responsible for coordinating alternative arrangements, such as a later testing date at the EPC, having their accommodations met in the classroom, or choosing to take their exam in class without accommodations, with their professor(s).

Please note that faculty are not required to provide additional scheduling flexibility for students that fail to schedule on time. 

The EPC strongly encourages students to book their exams as early in the semester as possible to grant plenty of time for EPC troubleshooting assistance. Requests for scheduling assistance before the scheduling deadline should be directed to epcser@uvm.edu.  

3. It's the student's responsibility to ask the EPC for help with scheduling.

If, for some reason, you are not able to successfully book your exam through Accommodate, it is your responsibility to immediately inform epcser@uvm.edu for assistance. 

Waiting until the last minute to schedule an exam through Accomodate and being unable to successfully book an exam will not be considered an exception to the EPC’s scheduling policy. 

 

4. How to reschedule an exam at the EPC

Body

Students that need to reschedule their exam at the EPC should:

  1. Cancel their existing booking through Accommodate
  2. Create a new booking in Accommodate, and
  3. Reach out to their professor, and the EPC at epcser@uvm.edu, and their SAS specialist as soon as possible to begin discussing alternatives. 

The EPC booking deadline cannot be altered. This means that the earliest a rescheduled exam could take place at the EPC would be seven days (168 hours) from the student making a new booking in Accommodate. 

  • If this is acceptable to the professor, the professor should upload any relevant exam materials and proctoring conditions as per the Faculty Accommodate Guide. 
  • If this is not acceptable to the professor, they may deny the booking in favor of alternative arrangements outside of the EPC that meet the student’s accommodation needs. 

If there are concerns about the student’s accommodations not being fulfilled or the rescheduling timeline being a fundamental alternation to the course, these should be directed to the student’s SAS specialist for additional guidance.

How Exam Scheduling Works in Accommodate

Accommodate’s booking deadline is 7 days, or 168 hours, from the requested exam time. The system calculates by hours, specifically. Attempting to schedule an exam after the 168-hour deadline -- even if it’s still technically “seven days” out -- will result in failure. For example, students are unable to schedule a 9 a.m. EST exam for Monday at 10 p.m. EST on Monday of the previous week. 

Exam start times and end times must fall within EPC business hours to be scheduled at the EPC. Please remember to account for extended time accommodations, if applicable, when picking a start time for your exam. 

Please note that this timetable is intended to give students a clear sense of the MINIMUM amount of time in which to book exams. Waiting until these deadlines is strongly discouraged and provides no margin for error. Book your exams early and avoid the stress and potential consequences of not booking on time. These consequences could include forfeiting your ability to use your exam-based accommodation based on EPC availability.
