Where is the EPC located?
The Exam Proctoring Center (EPC) is in room A131 of the Living and Learning Center A building. The Living and Learning Center (L/L) is located at 633 Main Street, Burlington, VT.
The EPC can be reached by crossing Main Street either through the Davis Center pedestrian tunnel/underpass or the crosswalk by the Green Mountain Transit bus stop. Walk through the center of L/L, passing the Marche and the UVM Skinny Pancake, and enter L/L A, which will be on the left side of the building marked by a large, light-blue ‘A.’ Once you have entered the L/L A lobby, continue straight down the center hallway to the left of the bathrooms, and the EPC main office will be on your right.
What are the EPC's testing hours?
Academic year (Fall and Spring semesters) hours:
Monday through Thursday: 8:00 AM to 9:00 PM
Friday: 8:00 AM to 4:30 PM
Summer semester and academic breaks hours:
Monday through Friday: 8:30 AM to 4:00 PM
The EPC is closed on weekends (Saturdays and Sundays). The EPC is also closed on all days that the University of Vermont is closed. The EPC's testing hours are subject to change on a day-to-day basis depending on tests scheduled.
What services are provided at the EPC?
The EPC provides testing accommodations for eligible Student Accessibility Services (SAS) students. This may include, but is not limited to, fulfilling extended time requirements, providing a reduced distraction test-taking room, or use of a reader or scribe. Accommodation eligibility is determined between the student and SAS. The EPC also provides limited proctoring services over summers and academic year breaks for students taking non-UVM exams at a fee of $40/hour, which we refer to as Courtesy Exams.
How do I know if I am eligible to take my exams at the EPC?
Students are eligible to take exams at the EPC if they have received exam/quiz accommodations through Student Accessibility Services. Students must first complete the SAS Getting Started form, then meet with an Accessibility Specialist to determine their eligibility for accommodations. Students eligible for exam accommodations must also complete a workshop on the use of academic accommodations and send accommodation letters to any courses they would like to schedule at the EPC for. Once these steps are completed with guidance from an SAS specialist, they should be able to schedule exams to be taken at the EPC using the myACCESS portal.
What should I expect when I come to the EPC?
To take exams at the EPC, eligible students must schedule at least three business days in advance of the test date. On test day, students should come to the EPC as scheduled instead of taking the exam in class.
When taking an exam at the EPC, a student first must check in at our front desk in the main EPC office. Personal belongings must be stored in our coat room across the hall before and during testing, which is under 24-hour camera surveillance to help protect students’ property and prevent academic dishonesty.
The EPC provides a reduced distraction environment in all EPC testing spaces. There are 27 workspaces in each of our primary testing rooms. Each workspace in our primary testing room is separated with a noise-reducing divider and all testing rooms are equipped with white noise machines.
Will I need to show ID to test at the EPC?
Yes. Students are required to present a form of photo identification when checking in at the EPC. This may include, but is not limited to, a UVM CatCard, state ID, driver’s license, and/or passport. IDs on your phone (such as CatCard in Apple Wallet) are considered valid forms of photo ID for the purpose of checking in for exams at the EPC.
What should I bring with me to test at the EPC?
Students should bring any permitted test-taking materials, including writing utensils for a written exam and class-specific necessities such as calculators, molecular modelling kits, etc. Permitted materials will be outlined by faculty and communicated to the student during check-in to their exam. Some instructors may allow note sheets or open-book materials, which should be communicated to students prior to the exam.
If taking a Brightspace or other online exam, students should bring their personal laptop for use during the exam. The EPC has a limited amount of test-taking supplies for use if necessary, including several types of calculators, pens, pencils, and noise-canceling headphones/ear plugs. The EPC will provide all scrap paper for exams. Use of personally-provided scrap paper is prohibited for use during testing at the EPC.
What is the procedure to check in for an exam at the EPC?
Students will first put away all personal belongings in our coat room (located across the hall from the main EPC office in Living/Learning A132), keeping only permitted testing materials such as pens, pencils, erasers, et cetera. Phones should be turned off or set to airplane mode and left in the coat room. Once complete, students may enter the main office and check in at the front desk.
The employee at the front desk will ask for your name, check your ID, locate your exam, and present you with a tracking form. This form includes a section where students are required to read and assent to the EPC’s academic integrity policies and testing expectations. The front desk employee will relay specific exam conditions, such as the exam duration, permitted exam materials, exam material restrictions, and/or notes given by instructors. Students are welcome to ask for clarification on any of these items. If a Brightspace/online exam password is required to access the exam, an EPC employee will enter it on the student's behalf. Students will then mark their check-in time and provide a confirmation signature on the tracking form. Once complete, an EPC employee will guide students to your assigned seat, where they then may begin testing.
How far in advance should I schedule an exam at the EPC?
Beginning on the first day of classes each semester, the myACCESS Portal opens for students to send accommodation letters to faculty and start scheduling exams (midterms AND finals) at the EPC.
We strongly recommend that students schedule all exams that they wish to take at the EPC as soon as they receive their syllabi and testing dates from their classes at the start of the semester. Booking as far in advance as possible can help secure your preferred testing time(s) and date(s), as well as ensuring that you don’t forget to schedule your exams!
The absolute deadline to schedule an exam at the EPC is three (3) business days in advance of the exam. Same-day or next-day exam scheduling is not provided unless under unusual or extenuating circumstances. Students are allowed two (2) late booking requests per semester, but no late exam bookings can be same-day or next-day. In other words, the latest a late exam can be scheduled is two (2) business days prior to the exam date.
Midterm Test/Exam/Quiz Scheduling Timetable:
Exam day | Latest possible time to fully complete booking via myACCESS Portal |
---|---|
Monday | Wednesday at 11:59 PM (ET) of the previous week |
Tuesday | Thursday at 11:59 PM (ET) of the previous week |
Wednesday | Friday at 11:59 PM (ET) of the previous week |
Thursday | Monday at 11:59 PM (ET) of the same week |
Friday | Tuesday at 11:59 PM (ET) of the same week |
Final exams must be booked prior to the Final Exam scheduling deadline identified by the EPC each semester. The EPC will communicate the final exam scheduling deadline to students each semester and emailing final exam scheduling reminders periodically to students with exam accommodations.
How do I schedule an exam at the EPC?
Students can schedule their exams through the myACCESS student web portal by clicking “Book a Test/Exam.” For detailed instructions on how to book an exam, students can reference the “How to schedule an exam in the myACCESS portal (for students)” tab on the EPC website (PDF).
If you receive an error message when scheduling an exam, please follow the instructions listed in the message, and if there’s still trouble in scheduling, contact the EPC via email at epcser@uvm.edu for additional support and monitor your UVM email for further communication. Please do not wait until the last minute to schedule exams to avoid late exam scheduling!
If you need assistance with scheduling your exams, please contact EPC Staff by email at epcser@uvm.edu, or please be encouraged to drop into the EPC anytime during our operating hours to request scheduling assistance from EPC Staff.
What day/time should I schedule my exam for at the EPC?
In most cases, students must schedule their exams at the EPC for when the exam is scheduled to take place in class. Students must obtain instructor permission to book an exam outside of this scheduled class time, which may be necessary depending on class schedules and possible conflicts.
If you have accommodations which impact the timing of your exam scheduling, please discuss this with your instructor before scheduling at the EPC.
I tried to schedule my exam online via the myACCESS Portal and got an error message. What should I do to schedule my exam?
There are a few common issues which may lead to receiving an error message. If you’re receiving an error, check that:
- The date and/or time selected is within EPC testing hours (and the exam will begin and end within EPC testing hours)
- The date and/or time selected does not conflict with other courses on your course schedule
- There are no other previous EPC exam bookings on your schedule which would conflict with this new exam booking.
If you are still unable to schedule the exam via the myACCESS Portal after addressing these issues, please contact EPC staff at epcser@uvm.edu for further support.
Do I have to take my exams at the EPC?
No! It is completely up to each eligible student to decide which and how many (if any) exams to schedule at take at the EPC.
What happens if I need to take an exam outside of EPC testing hours?
Unfortunately, the EPC typically cannot accommodate any exam proctoring outside of EPC testing hours. If you have exam scheduling requests outside of EPC testing hours, please contact EPC staff at epcser@uvm.edu and we can provide guidance.
Can I schedule make-up exams at the EPC?
Yes! Students who are eligible to test at the EPC can schedule make-up exams with instructor permission. These exams should be booked in the same way as normal exams using the myACCESS portal. Before booking a make-up exam, please talk to your instructor, as they must approve the exam before we can assist in proctoring it.
Can I reschedule an exam I’ve previously booked at the EPC? If so, how?
Yes! The rescheduling procedure depends on the timing of when a student is attempting to reschedule.
If the exam to be rescheduled is more than three business days in advance, students should cancel their old exam booking in the myACCESS portal and book for their new expected time (with instructor permission for this new time slot).
If the exam to be rescheduled is within three business days, students should contact EPC staff directly at epcser@uvm.edu to seek help in rescheduling.
What happens if I am late to an exam booking at the EPC?
It is expected that students using the EPC will arrive on time for their exams. If you arrive late, you may not be permitted to test; you may be required to contact your instructor for permission to start late, or to discuss potential rescheduling options. After 20 minutes, the exam may need to be rescheduled (if allowed by the instructor) and will be treated in the same way as a missed in-class exam.
What happens if I miss an exam booking at the EPC?
If you believe you'll miss an exam booked at the EPC, it is always best practice to cancel your booking through the myACCESS portal. However, we understand that sometimes unexpected circumstances can arise. There is no penalty from the EPC for missing an exam booked with us, and students should converse with faculty about next steps in the case that an exam is missed.
How does the EPC receive my exam from my instructor?
The EPC receives exam submissions directly from instructors, through either online submission or a physical drop off.
What happens if I have a question during my exam? Can I contact my instructor?
If students are taking exams during class time, instructors are often available to contact with questions. Students should come to the EPC front desk with any questions they may have during their exam. EPC staff will ask the student to write out their question on paper in the way they’d like it to be sent to their instructor, and once the instructor responds, this answer will be brought to the student in the testing room.
In the case that an instructor is not available to answer questions during an exam, EPC staff can still attempt to reach the instructor with any questions. Though we cannot guarantee a response in these cases, this still allows for the question to be on-record so it may be considered in grading the exam per instructor discretion.
If you have questions during exams, please don't wait until the end of your exam time to come to the EPC front desk to ask the questions! Please come ask questions as they come up to allow your instructor time to answer the question while you are still in the EPC.
What happens if I have a problem with my exam?
If there is any kind of problem with an exam, EPC staff will do whatever we can to help! Students should alert the EPC front desk, and we will do everything in our power to troubleshoot or contact instructors with any exam issues. In the case that an exam problem cannot be resolved (for example, if a Brightspace exam is not open or isn’t set for the correct amount of time), we can let the instructor know and advocate on the student’s behalf to ensure fair testing conditions.
Can I take a break during my exam?
Students with an accommodation for Breaks During Exams are eligible for stop-the-clock breaks and their exam time will be paused while on break. Students without this accommodation are also permitted to take limited breaks for restroom use, but their exam time continues to run when on a break. Students are required to check in at the front desk whenever they’d like to take a break. During breaks, students must stay near the EPC, cannot access phones or any additional exam materials, and will likely be accompanied by EPC staff.
My instructor informed the class that extra/different materials are allowed on the exam. What happens if they do not inform the EPC?
If instructors allow extra/different exam materials which were not communicated to the EPC, we will first ask students to present anywhere the instructor may have established this in writing. If students can show written confirmation from their instructor that the extra testing materials are allowed, they will be permitted to use them. Written confirmation includes email communication or Brightspace posts by the instructor.
If the instructor mentioned the materials in class or otherwise without record, the EPC must wait for instructor confirmation before students can use any additional materials. In these cases, we will contact the instructor, and the student may begin their exam with only the testing materials which were explicitly allowed by their instructor. Once we hear back from the instructor, we may notify the student that they can or cannot retrieve additional materials and bring them into the testing space.
