Start Banner by opening a session of Internet Explorer and entering http:www.uvm.edu/banner in the address bar. Note: other browsers may work but are not currently supported.

There is an Auto Help Line at the bottom of every Banner screen is a status line which displays error messages and important information about your next step.  In this line functions are displayed in uppercase letters. Getting around in SWCSCHD

When you are working in the form, Banner functions should be used when the Auto Help Line specifies them. Navigation in the form itself, however, is a little different from the rest of Banner.

Entering Information on SWCSCHD

Enter term and subject in the top part of the form (called the Key Block) and press Ctrl+PageDown or TAB

 

TERM - Format is YYYYSS where YYYY is the year and SS indicates the term

            01 = Spring (think January)

            06 = Summer (think June)

            09 = Fall (think September)

Example: 200701 = Spring 2007

 

SUBJ – If you are not sure what the correct code is, press F9 to get a list.  As you start to type the code, the values matching what you type will display.  Place your cursor on the correct value and press ENTER.

 

CRN – This field is filled in automatically when the record has been SAVEd; a negative number displays until that time

 

SUBJ – Prefills with the subject entered in the key block

 

CRSE – Enter the course number (or press F9 to select from a list)

 

SECT – Section identifier (A, B, for ‘regular’ sections, A01, A02, etc for labs/discussions)

Section must be unique for each course.  You can have HST 011 A, HST 012 A, HST 095 A, but you cannot have 2 sections of HST 011 A.  Rather, you must enter HST 011 A, HST 011 B.

If you have more than 25 sections, such that all letters are used, start using double letters: AA, BB, CC.

If you are entering a CE section (campus code C), the section should be Z1.     

To make it easier for students registering for linked sections, the sections should ‘match’.  So, lecture A should have labs A01, A02, etc.  Lecture B should have labs B01, B02, etc.  If you have multiple lectures linked to the same labs, then use A,B,C for the lecture and L01, L02, etc for the labs.

Single digit labs should use the preceding 0 (A01, not A1, A02, not A2) so they will sort properly.        

 

SCHD TYPE – Press F9 and choose from the list presented

 

CAMP CODE – M = day section, C = CE section

TITLE – Displays but cannot be changed

 

MAX ENRL - Enter the estimated enrollment for the section.  Please give an accurate estimate.  Note, if the section is going to be cross listed, this value should be the maximum enrollment you want for this section.  Use the NOTES feature to communicate the overall enrollment for the cross listing.

 

PROJ ENRL – For Registrar Office use only

 

MULT: An * will display in this box if there are multiple time/day records for the section

 

BEGIN – Pressing F9 will allow you to pull back begin time, end time, and days; if you prefer to enter manually, enter the time the section begins using military time.  Leading zeros must be entered (eg, 0800 for 8:00am).  A military time guide is at the end of this document.

 

END – Enter the time the section ends, military time with leading zeros

 

DAYS – Enter the days the section meets, codes are M T W R F S U

 

PREFERRED BLDG – Enter the preferred building code, or press F9 to choose from the list.  General Purpose classrooms have GP displaying next to them in the list.

 

PREFERRED ROOM - Enter the preferred room code, or press F9 to choose from the list. 

 

Note: If you do not have department owned space, and should only be requesting GP rooms, click on Preferred Room to make your selection.  The Preferred Room list only contains GP rooms.

 

Note: If you need to enter multiple meeting patterns, press SAVE at this point (F10).  Then press NXT-BLK (Ctrl+PageDown) to get a popup screen where additional time/day information can be entered.

 

Note: Begin, End, Days, Bldg, Room are all one ‘chunk’ of data.  Once you press SAVE, you can only edit this information, or add new information, by pressing NXT-BLK from one of those fields.

PARTITION – For Registrar Office use only

 

MULT – An * will display in this box if there are multiple instructors for the section

 

PRIMARY INSTRUCTOR – Start to type the last name of the instructor.  The list of choices will narrow as you continue to type.  Type until there is only the entry you desire, or once you see the name, click on it and then click ‘OK’.

 

% RESP – 100 if there is only one instructor.  If there are multiple instructors, the sum of the % responsibility must = 100.  The field on this page is computed automatically. 

 

Note: If you need to enter multiple instructors, press SAVE (F10).  Then press NXT-BLK (Ctrl+PageDown) to get a popup screen where additional instructors can be entered.  The % responsibility must be manually altered in the popup box.  The % responsibility on the main page will be altered so the sum is 100.

 

CR – Section credits.  This field can only be altered if the section is variable credit and you want it to be only a specific number of credits (i.e., the course is variable 1-6 and you want this to be a 3 credit section).  In all other cases, just leave this field alone.

PERM IND – Permission indicator.  Press F9 to choose from the list.  Please note, if you enter a permission indicator, you should also note in the SOC comment that permission is required for the section.

 

NOTE to RG – If you have not SAVEd yet, you must press SAVE (F10) before you can enter information.  Press Ctrl+PageDown to access the popup box for Note information.

 

Notes have 2 components, a note type and the note contents.  Press F9 to see the note types.  Choose the appropriate type.  TAB to the Instructions.  Enter the information related to the instruction type you have chosen.  The Note types are:

ATTR – For the WebCT attribute (e.g.: section uses WebCT)

CLST – Cross listing information (e.g.. Should be cross listed w/ HST 011 and CMSI 096.  Total enrollment for the cross listing is 50.)

FEE – Fee information.  Please be sure to include fee amount, detail code, and whether fee is flat or per credit.   (e.g.. Art lab fee of $35, detail code FL11, Flat fee)

LINK – Linking information (e.g. link lec and disc)

ROOM – Any information about the room we need to know (eg. needs tablet arm chairs and great black boards).  Media codes are provided for your convenience.

RST – Registration restrictions you want applied (e.g. first year History majors only)

RTC – If you want the title changed, enter the desired title in the instructions area.  Please note only special topics type course titles are changed

SEE – Enter the subject where you would like the section to appear as a ‘See also’ (e.g. See also under African Studies)

RO – If there is information the Registrar’s Office needs to know that does not fit any of the note types above, enter it as an RO note.

 

Please choose the proper type for each set of instructions.  When you are finished, press the SAVE button and then the RETURN button.

 

SOC PRINTED COMMENT: The text you enter here will display exactly as entered in the Comments area of the Schedule of Courses.  You must NXT-BLK (Ctrl+PageDown) to enter the information.  Information you enter in ATTR, CLST, FEE, LINK and RST notes will need to be in the SOC Comments, though probably worded a little differently.  Suggested abbreviations for commonly used words in SOC Comments are at the end of this document.  CTRL-C and CTRL-V can be used to copy information you entered in the NOTES field into the SOC comment.

Suggestions abbreviations for SOC comments

Other Comment Guidelines:

 

Specific courses should have the department abbreviation in caps (ie, MATH 21)

Do not put punctuation at the end of the comments.

For linked courses add the comment: Must reg for lab or Must reg for lec. Sometimes specific lab sects or lecs are necessary, such as: Must reg for Lab A01-A06.  Please do not use dittos.

 

Error Messages

If you mistakenly enter two sections with the same section number (e.g enter MATH 19 A twice) you will get an Oracle error:  FMR-40508: ORACLE error: unable to INSERT record.  For one of the sections, you need to change the duplicate section number to something different.  So, if you have 2 sections of MATH 19 A, you need to change one to MATH 19 B (or whatever section number will make it unique).

Additional Information Regarding Cross Listing

Cross listing does not happen automatically.  If HST wants a section to be cross listed with HS, HST needs to work with HS to ensure HS creates the section under HS.  As part of this coordination, please be sure the meeting patterns and instructors match.  Both departments should put a CLST  note on their section.

 

The maximum enrollment for each section in the cross listing should be entered for that section.  If the combined enrollment for the cross listing is different, that should be stated in the CLST note.

 

Example:

History wants to cross list HST 095 with HS 095.  History wants the max enrollment for their section to be 20.  HS wants the max enrollment for their section to be 10.  They want the combined enrollment for the cross listing to be 30.

 

History enters this on SWCSCHD:

HST 095 A

max enrl = 20

time/day = 8-8:50 MWF

instructor = Scrase

CLST note = Cross list w/ HS 095 A.  Combined enrollment for cross listing should be 30.

 

Holocaust Studies enters this on SWCSCHD:

HS 095 A

max enrl = 10

time/day = 8-8:50 MWF (note it matches HST 095A)

instructor = Scrase (note it matches HST 095A0

CLST note = Cross list w/ HST 095 A.  Combined enrollment for cross listing should be 30.

 

Another possible enrollment scenario for a cross listing is that the maximum enrollment desired is 30, but whether all 30 are in HS or all 30 are in HST or some are in each does not matter.  In this scenario, all the information above would be the same with one exception: both sections would list a max enrollment of 30.  It is still necessary to include the CLST note so our office understands the maximum enrollment for the cross listing is 30 and not 60.
