Getting started

If you just got a new mailing list you need to do several things, see below.

  • Get a personal password - Many functions you do will require a personal password. If you already login through the Web to manage your list, then you already have a personal password and don't need to define another one. Skip to the next section, "Add yourself to the list". Otherwise, go to Get a password and follow the instuctions to define one. Be sure you enter the same email address you gave us as your list owner email address.

    This password is associated with your owner email address not the mailing list. With this one password you can manage all of the lists you own and can use it whenever a LISTSERV password is needed. This password is required to login and use of the LISTSERV Web interface for list owners but will also work on commands and requests you send to LISTSERV via email. (This replaces the previously defined mailing list password.)

  • Add yourself to the list - If you as owner want to be a part of the discussion, add yourself as a subscriber to the list. There are two ways to do this.
    1. Use the Web interface at: http://list.uvm.edu/cgi-bin/wa and login. Click on subscribers and follow the instructions.
    2. Send email to: listserv@list.uvm.edu. Fill in the Subject line if you wish. On the first line of the message enter the add command, add list_name First Last pw=ppw, where "list_name" is the list name, "First Last" is your name and "ppw" is your LISTSERV personal password. For example:
      add folkmusic jsmith@uvm.edu Joe Smith pw=mango
    3. Add some subscribers - Next you need to add subscribers to your list, in one of three ways. You can do these steps with email, but you might find it easier from the Web with the Mailing List Management Interface.
      1. Add them yourself. See the tips for doing this at Add subscribers.
      2. Tell people to add themselves. They can go to: All About Listserv at UVM, click on "Joining a list" and follow the instructions to get signed up. They of course need to know the name of your mailing list.
      3. Tell people to follow the New Subscriber Instructions at: New Subscribers. You may give people a link to this paragraph or print it and give it to anyone needing to join your list.

      When you add a new subscriber they will receive a LISTSERV welcome messsage which will tell them a number of things and also point them to All About LISTSERV at UVM which will give them tips on joining, leaving, and sending a message to a mailing list. If you composed a custom welcome message when you requested the list, that will also go to a new subscriber.

    4. Send a message - You or one of the subscribers needs to send a posting to your new list, to get the discussion rolling. Check out: Send a message

Managing your list from the Web

You can login to the Listserv Web interface to add and delete subscribers and to do other management functions by going to: Mailing List Management Interface Then click on "List Owners Only".

Adding, Deleting and other things

The following instructions are for email, but you might find the Mailing List Management Interface easier to use. Look for "List Owners Only". The "Bulk" button will help you add several people at once.

Let's assume for our examples that the list name is FOLKMUSIC and your personal password is STRUMMER and you want to work with somone called Mary Jones whose e-mail address is: mary.jones@uvm.edu. Use your mailer to send email to: listserv@list.uvm.edu, and include the appropriate command(s) in the body of your message.

To place someone on your list, use the add command:

         add  folkmusic  mary.jones@uvm.edu  Mary Jones  pw=strummer
 

(The field "Mary Jones" can contain almost any variation of someone's real name, as in: Mary R. Jones, Mary Jones III, M. Jones but the real name must be two words. A single name is not allowed.)

To remove someone from your list, use the delete command:

         delete  folkmusic  mary.jones@uvm.edu  pw=strummer
 

To get a list of all subscribers sorted in various ways, try one of these commands:

         review  folkmusic
         review  folkmusic  (by  country
         review  folkmusic  (by  name
         review  folkmusic  (by  node
         review  folkmusic  (by  userid
         review  folkmusic  (by  (node  userid)
 

To get a partial list of subscribers who match a certain string of characters:

         scan  folkmusic  jones
         scan  folkmusic  uvm.edu
         scan  folkmusic  aol
 

To add several people at once (a "bulk" add), you can use this job. You only need to specify the list name and password once. Type in the words "dd=batch" and "//batch dd *" as indicated, they tell Listserv where to find the list of subscribers.

         add folkmusic dd=batch pw=strummer
         //batch dd *
         tjones@uvm.edu Ted Jones
         csmith@uvm.edu Cindy Smith
         Leslie.Lee@uvm.edu Leslie Lee

Or you can use this job. The syntax is a little simpler, but you have to specify the command and list name on each line. This job is better than the previous job if you have several adds and deletes to do, because you can specify the command you need.

         // job pw=strummer
         add folkmusic tjones@uvm.edu Ted Jones
         add folkmusic csmith@uvm.edu Cindy Smith
         delete folkmusic Leslie.Lee@uvm.edu
         // eoj
 

(Since the above commands are only examples, fill in the fields that seem appropriate for your list.)

You can put several commands in one e-mail message by listing them on subsequent lines.

If a subscriber is having some problem, like not getting mail, you might try this command to see the settings:

         query folkmusic for tjones@uvm.edu 
 

If you want to change a person's settings, like to stop their mail, use the nomail setting:

         set folkmusic nomail for tjones@uvm.edu pw=strummer 
 

If you want that person to again receive mail, use the mail setting:

         set folkmusic mail for tjones@uvm.edu pw=strummer 
 

There is an option called "quiet" which you use in front of some of these commands if you don't want the person to receive any email about what you are doing. For example, you have "bad" address on your list and you want to remove it. The delete command will work but will send a farewell message to that "bad" address. Since there is no need for that, just precede the delete command with the word "quiet", like so:

         quiet delete folkmusic csmith@uvm.edu pw=strummer
 

This also works for the add command, in case you don't need to tell the person they have just been added to your list. For example:

         quiet add folkmusic tom-ber@somewhere.com Tom Berrows pw=strummer 
 

If your Listserv command is too long to fit on one line, break it into two lines, between words. Put double slashes at the beginning of the first line and a comma at the end, and then continue on the second line. Make sure you put a space after the slashes and a space before the comma. For example:

         // add nettalk someone@there.very.long.address.that.it.takes.two.edu ,
         Judy Jones pw=timeout
 

Handling email delivery errors

If you receive a "Daily Error Monitoring Report", it means LISTSERV was unable to deliver a message to a subscriber. In many cases, this is simply due to a temporary problem, such as a person's mail server being unavailable or his/her mailbox being full. Depending on how your list is configured, if LISTSERV encounters a permanent delivery failure such as an email address no longer being valid, it may automatically unsubscribe the user so you do not have to do this yourself.

Deleting a list

If the list you manage is no longer being used and you wish to delete it, send an email message to lsmaint@list.uvm.edu giving the name of the list you want to delete. The LISTSERV maintainers will remove the list for you.
