An Update on UVM’s Key and Electronic Access Systems Policy.

Last February, we notified campus of updates to UVM’s Key and Electronic Access Systems Policy. Everyone who has a UVM issued brass key or CATCard access has responsibilities under this policy. If you are also responsible for requesting access, you have additional requirements. To familiarize yourself with what you are responsible for, please take a moment to read the policy.

One area that has raised many questions relates to the transfer of keys. At UVM, keys are assigned to an individual --- not to a unit or a department. When one person leaves a unit, when they are no longer employed by the University, or when they no longer require a particular brass key, the key(s) that were assigned to them must be returned to the Lock Shop. If or when the position is filled, new keys need to be requested from the Lock Shop for that new employee. It is against UVM policy to transfer keys from one individual to another. Doing so puts the University, UVM employees, students, and everyone in our community at risk. Extra keys should never be retained by a department --- they must always be returned to the Lock Shop when someone leaves their position.

The prohibition of key transfers is but one requirement under the Key and Electronic Access Systems Policy. Click here to read the Policy or click here to find frequently asked questions. You can also reach out to the Lock Shop if you have any questions about keys or to the CATCard Service Center if you have questions about electronic access.

Please visit the UVM Policies website for a list of all institutional policies and operating procedures. If you have any questions about this ComplianceAlert, contact the Office of Compliance and Privacy Services at compliance@uvm.edu.
