For many years, Enterprise Technology Services (ETS) has stored backup tapes for most of our main Information Technology
(IT) systems for a full 7 years after creating them. We are planning to change this practice and reduce the time tapes are kept to 25 months.

This change only affects backup tapes; it does not affect online email, files, folders, or the online content of information systems such as Banner and PeopleSoft.

After discussing our current 7-year retention practice with our auditors and compliance officer, it is clear that backups should be used for business continuity, not retention. Data retention should be accomplished in the system of record (i.e. within Peoplesoft, Banner, etc...) or via some other documented method.

In addition to inadvertently retaining information much longer than required for individual business areas, the 7-year backup retention is very expensive in both tape costs and secured storage vaults. Keeping backups for 7 years requires us to store thousands of tapes in a highly secure and environmentally controlled environment. For the University to manage these costs, we need to reduce the length of time we keep these backups. We are running out of space to store tapes and would need a sizable investment to increase the storage capacity. It also requires us to keep old tape drives, servers, and software available so we can recover the old tapes.

This message is to make sure you understand that the backups are performed for business continuity, not archival or retention, purposes and that you should have archival and retention procedures that match the requirements of your particular business area -- something we can't do with a single practice for all our enterprise systems.

If you feel this change in procedure will affect your ability to meet UVM's retention requirements, please let us know as soon as possible by emailing ETS.

If we don't hear of any significant problems with this change, ETS will proceed with reducing our retention to 25 months starting shortly after June 10, 2013.

MEMO
TO: UVM Faculty and Staff

MEMO

TO: UVM Faculty and Staff
FROM: Patrick Brown, Director of Student Life and the Dudley H. Davis Center

I want to personally invite you to be part of the wonderful Move-In 2013 Welcome Crew. We are anticipating a great move-in experience this year as we welcome the Class of 2017. You - yes you - could certainly be of great assistance as we build a fabulous crew for Move-In 2013.

Last year over 500 faculty, staff, administrators, and students welcomed our new students and families to campus by saying hello, answering questions, directing a car here and there, and hefting boxes up a few flights of stairs. As we plan for Opening 2013 we are once again seeking the involvement of our campus community.

The Great UVM Move-In for new students is Friday, August 23 from 8:00 AM to 4:00 PM. We are seeking volunteers to help out from 8 AM – 1 PM.

The principal role you will play as a member of the UVM Welcome Crew can be either a "welcomer " or a "mover". The "welcomer" role does not require one to lift or move anything, but to welcome students and families to campus (near the residence halls or in the parking areas) and to help make them feel part of our community. The "mover" role is a bit more athletic and will require one to assist with whatever size boxes you feel able to handle. We are asking folks to sign-up in either of these two roles. We are allowing Welcome Crew members to identify specific campus locations to work and, if desired, to sign-up as a group to work a specific area. We are planning information sessions the week prior to the Move-In and will be in touch via email over the summer. T-shirts and snacks will be provided for the 23rd.

The t-shirts are cool! The energy is contagious! Be a member of the UVM Welcome Crew, sign-up here by June 15.

Thanks! And have a great Spring!

I am writing to ask for your consideration and support of a new initiative for 2013 Commencement, scheduled on Sunday, May 19, 2013.

In an effort to encourage and allow more UVM staff to support the success of Commencement, we are asking deans, directors, and chairs of departments/units to consider allowing staff to alter their work schedule the week before so that they are able to work during this year’s Commencement. Both exempt and non-exempt staff would be welcome to participate and alter their regular work schedules accordingly. In order to keep the hours on the same pay period, the staff person would need to alter their work schedule the week before by one day in place of working on Commencement, Sunday, May 19th. Times can vary throughout the day from 6:00am to 5:00pm based upon the employee’s typical work schedule, availability, and program needs.

Many of you graciously encourage and allow your staff to participate in welcoming our incoming students in the fall. Commencement is the capstone experience and last opportunity UVM has to congratulate our students and families and having your support would be greatly appreciated while making a lasting impression during this important time for our guests.

In exchange, the Commencement welcome crew receives the following:

Morning beverage and pastry

Lunch

Commemorative Commencement hat

Memories to last a lifetime

Training:

Tuesday, May 14th: 11am to 12:30pm in Waterman 413

Staff interested in joining our welcome crew can complete an on-line form. Once submitted, someone will reach out with further details.

Thank you for considering. If you have any questions, please contact Conference and Event Services at 656-5665 or email.

UVM's Clean Energy Fund Committee is seeking 6 new student committee members for the 2013-2014 academic year. We need 4 undergraduate students and 2 graduate student to fill these posts starting in September.

The mission of the Clean Energy Fund (CEF) is to finance new clean energy projects on the UVM campus and beyond. The source of the fund is a student fee dedicated to clean energy projects; this dedicated fee ($10 per student per semester) is part of a comprehensive fee that UVM collects each semester from full-time undergraduate and graduate students.

More info about the CEF can be found at the Clean Energy Fund website.

A major goal of the Clean Energy Fund is to foster student, staff, and faculty cooperation and involvement. The Office of Sustainability helps review committee member applications, and looks for students who are in favorable academic standing, and exemplary members of the UVM community. Applications are further reviewed by the Student Government Association (SGA) or the Graduate Student Senate (GSS) and they make final appointments of committee members. Committee members meet once a month over the academic year and serve 2-year staggered terms to allow year-to-year continuity within the committee.

To apply, visit the Clean Energy Fund website and send application or any questions to the Clean Energy Fund Committee. If you have any questions about the CEF, please email us.

For most UVM faculty, staff and their families, the front door to mental health and substance abuse care is through The Wellness Corporation (800-828-6025). As the University's employee assistance provider, The Wellness Corporation is uniquely positioned to meet your mental health and substance abuse care needs, offering free counseling, maintaining confidentiality, and setting up individuals and their families with qualified local care as appropriate.

Depending on the nature of an individual's needs, The Wellness Corporation creates connections with long-term care through Blue Cross and Blue Shield of Vermont (BCBSVT). When they do, mental health and substance abuse care management transitions to BCBSVT's care management program.

Announcing a New Care Management Program

BCBSVT is changing its Mental Health and Substance Abuse care management program. With the goal of improving service, they have partnered with the Brattleboro Retreat to form Vermont Collaborative Care, the organization that will handle UVM's mental health and substance abuse care management beginning July 1, 2013.

This new program will integrate the management of mental health and substance abuse with the management of other kinds of health care. This new care management model is expected to promote better health outcomes and a more efficient, convenient and satisfying experience for members seeking care. Because it does not separate mental health and substance abuse from an individual's other health care needs, it encourages treatment of the whole person, taking into account all of the conditions present.

The federal Patient Protection and Affordable Care Act (PPACA) requires the University of Vermont to provide healthcare plan participants and their beneficiaries with a Summary of Benefits and Coverage (SBC) describing each available group health insurance plan. The format, content and language of the SBC is defined by applicable federal regulations so that individuals can easily compare available plans—in preparation for a variety of plans being made available on the Vermont Health Benefit Exchange (the statewide health insurance marketplace).

The initial SBC has been published for the health plan year beginning July 1, 2013. Subsequently, a new SBC will be published whenever coverage changes, or for each new plan year.

There are currently four distinct Summaries of Benefits and Coverage, depending on your relationship to the University.

Come see the Labor of Love exhibit at UVM from March 4-18th. Start at the Living and Learning Center Gallery and continue to the Center for Cultural Pluralism and the Women’s Center. A campus map is available here and at any of the locations on the campus.

This exhibit, which was created by Vermont Works for Women in collaboration with the Vermont Folklife Center, features stories and photos celebrating the transformative power of work by focusing on ways in which work can engage our passion and connect us to others and in communities. It was created as part of VWW’s 25th anniversary festivities.

There are three UVM staff members featured in the exhibit: Deborah Lisi-Baker, administrative services manager at the Center for Disability and Community Inclusion; Candace Taylor, student services professional at the UVM Women's Center; and Marie Tiemann, endowment accountant in Financial Reporting and Account Services.

The featured women are farmers, doctors, tattoo artists, college presidents, electricians and general store clerks. They are passionate about their work, exemplify excellence in their field, and are an inspiration to others. Through Labor of Love, we have the invaluable opportunity to discuss our experience of work with the young people in our lives and with each other – to talk about the choices we’ve made and the twists and turns of our individual journeys. They are stories worth sharing.

Robert Parsons was recently named the 36th recipient of the John C. Finley award, given annually by the Vermont Dairy Industry Association in January. The award was presented at the Vermont Farm Show at the Champlain Valley Fairgrounds in Essex, VT.

The award, named in honor of the late John Finley, a respected agricultural educator and Vermont community member, recognizes an individual who has performed distinguished service to Vermont Agriculture and exhibits the outstanding character and mental vigor exemplified by Finley.

“Bob is man I’m sure my dad would have been proud to have as a colleague and a friend,” said Kate Finley Woodruff, an MPA Adjunct Professor and daughter of John Finley. Both John Finley and Parsons studied at Penn State University, received PhD’s in Agricultural Economics, and had years of dedicated experience to the dairy industry, farm management and profitability.

Parsons’ greatest contributions to the agricultural industry have been made in Vermont. His accomplishments include securing more than $8 million in grants, conducting agricultural research on turning cow manure into electricity, and evaluating Vermont grass-based livestock farm policy.

However, Parsons’ agricultural economics work spans international boundaries, including Albania, Kenya and Zambia, where he worked with farmers on dairy management, increased profitability and financial training.

“I love my work because it ties together so many different aspects of the dairy sector, from technology and business to community planning,” Parsons said. “It keeps what I do very refreshing.”

Parsons currently teaches Agricultural Policy and Ethics in the Community Development and Applied Economics department.

The International Mentoring Program at UVM was created to help ease international students’ adjustment to life on campus and to the United States. Faculty and Staff Mentors have a unique opportunity to share their culture while learning about the home culture of an international student mentee. By providing support, advice, and sometimes just listening, mentors can play a tremendous role in helping students acculturate to the US and plant roots in Burlington.

Though the program places particular emphasis on the first months of the semester, our hope is that mentors maintain contact with students throughout the academic year.

Mentors may be expected to:

Participate in a reception at which you will meet your mentee

Make frequent contact with your mentee – especially if it is their first semester at UVM. That means:

Face-to-face meetings every 2-3 weeks in the first months (ex: chat over coffee)

Weekly check-in emails to see how things are going and offer support

Occasional off-campus experiences (ex: ice cream downtown, a trip to the movies, a visit to the Echo Center, or a meal in your home)

Introduce your mentee to departmental, campus and community resources as needed.

Communicate with the Office of International Education or other campus support services as needed – a mentor may be the first person to hear a student is struggling academically or having a difficult time acclimating to UVM. You aren’t expected to solve these problems for students, but to help connect students with the appropriate resources on campus.

What other mentors are saying:

“Personally, I have developed a meaningful relationship with a young person who is now part of my family. Professionally, I have a window into the [international student] experience and the possible support services UVM can provide to strengthen this program. I feel fortunate to be part of the program.”

-- Ellen McShane, Academic Support Programs

"I love answering questions, helping with language and sharing food, games, traditions and ideas about school, traditions, studies, social life... everything! A mentor can help [international] students feel more at home at UVM and in Vermont. A student can help a mentor feel connected to the world! It is a wonderful exchange that grows into a special friendship."

UVM has added qualitative research tools to its portfolio of software in support of faculty and student scholarship. Evaluated and promoted by a small team of UVM qualitative research faculty, endorsed by the Faculty Senate Education and Research Technologies Committee (ERTC), and underwritten by Provost Knodell, we've added two packages from Researchware, Inc. to UVM's software library.

HyperRESEARCH is a solid code-and-retrieve data analysis program that enables you to code and retrieve text, build theories, and conduct analyses of your data. With its advanced multimedia capabilities, HyperRESEARCH allows you to work with text (including "rich text" and Unicode text), graphics, audio, and video sources — making it an invaluable research analysis tool. HyperRESEARCH also provides you with additional theory building features provided by the Theory Builder.

HyperTRANSCRIBE is ResearchWare's software product for transcribing audio and video files. HyperTRANSCRIBE lets you open and play most popular audio and video formats, and provides both

graphical and keyboard control to play, pause, and loop playback so your hands never have to leave the keyboard.

To download, simply go to the ETS software library site and log in with your NetID. Both packages are available for both Windows and Macintosh computers. Select your computer system, find the package you want, and click "Download". Be sure to download the license key files from the download page (follow the link on the note " During installation, you will need the information contained in this file.").

You may use the packages on a trial basis without the keys, but you'll need the license keys after the initial 30 -day period. UVM has licensed sufficient copies for faculty, staff, and students for an initial three-year period. Faculty who want their students to use those tools in their courses may direct them to download and install the software at no cost.

Researchware provides online tutorials and interactive training

on the use of the packages as well as easy-to-use documentation. Professor Meghan Cope from Geography will be coordinating webinar training and a user-group listserv and will be the initial contact person for the user group (meghan.cope@uvm.edu) -- watch for announcements in early January.

**Goal is $150,000 and 25% participation in our employee campaign**

The 2012 UVM United Way Campaign continues, and we are working hard to reach our goal of $150,000. (You can check the progress of the campaign at our website.)

If you’ve already made your donation, please accept our sincere thanks. If you have not, please read on.

The United Way is the only organization in this community that has a “bird’s-eye view” of the social fabric of this community and invests your donation in strategies and programs that address critical needs. The result is a strong network of services that provides help to people in time of need regardless of their ability to pay.

In addition to funding provided to member-agency programs that are core to the human service network in our community, United Way mobilizes the community to understand the root causes of our most pressing problems and invests in innovative and strategic partnerships for sustainable, lasting change. They make program investments and engage volunteers to improve people’s lives… one person or one family at a time.

We hope you will consider making a pledge today. Making your gift through payroll deduction is an easy, painless way to support our community.

You can find the pledge form here.

Many thanks.
