Update Information in Headers and Footers
- View | Headers and Footers.
- In the Header and Footer toolbar, select Insert Auto Text.
- The drop-down menu contains combinations of pieces of information, such as author, page number, and date, you can apply at the click of a button. The pieces of information are placed in the document in the form of fields. Fields have many roles in Word, but for our use here- updating pieces of information- you only need to remember the F9 key.
- Open a multipage document in Headers And Footers mode. Click the first header in the first section of the first page to place the cursor there. Click Insert Auto Text and choose Author, Page #, Date. This combination is placed in the header. Scroll down- you will see the pages are numbered consecutively.
- Changes you make in the Page Number Format dialog box, such as changing page numbering from number to letter, will be immediately applied.
- Information you change elsewhere will need to be manually refreshed, and that’s where F9 comes in. Let’s change Author Name as an example.
- Click File, Properties, and Summary and change the author name. Click OK. Go to Headers And Footers view. Click the author name in the header to select it. Press F9, and the name will update.
- Other information aside from those accessed via the Insert Auto Text button will automatically update as you go.
