

{"id":31759,"date":"2025-08-29T10:59:37","date_gmt":"2025-08-29T14:59:37","guid":{"rendered":"https:\/\/www.uvm.edu\/it\/kb\/?post_type=ht_kb&#038;p=31759"},"modified":"2026-02-04T10:38:46","modified_gmt":"2026-02-04T15:38:46","slug":"forwarding-email-to-external-addresses","status":"publish","type":"ht_kb","link":"https:\/\/www.uvm.edu\/it\/kb\/article\/forwarding-email-to-external-addresses\/","title":{"rendered":"Forwarding email to external addresses"},"content":{"rendered":"<h3 style=\"text-align: left;\">University policy prohibits employees from automatically forwarding email to most non-UVM address.<\/h3>\n<p style=\"text-align: left;\">This practice risks exposing non-public protected data, including student work and communications, to unapproved services in violation of data privacy regulations.<\/p>\n<p><a href=\"https:\/\/www.uvm.edu\/d10-files\/documents\/2025-12\/Email_Autoforwarding_Memorandum.pdf\">This memorandum<\/a> clarifies that <em>automated<\/em> forwarding, such as mailbox forwarding or Inbox Rules, is specifically disallowed by <a href=\"https:\/\/www.uvm.edu\/policies\/information-security\">UVM Information Security Policy<\/a> and <a href=\"https:\/\/www.uvm.edu\/policies\/information-security-procedures\">Procedures<\/a>. Employees are not prevented from forwarding individual messages to addresses outside the university if they determine that such sharing is appropriate and doesn&#8217;t expose protected data in violation of policy.<\/p>\n    \t\t<div class=\"hts-messages hts-messages--info  hts-messages--withtitle hts-messages--withicon \"   >\r\n    \t\t\t<span class=\"hts-messages__title\">LCOM addresses allowed<\/span>    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\tFaculty and employees of the Larner College of Medicine are allowed to forward their email to addresses in the med.uvm.edu, uvmhealth.org, and vtmednet.org domains. When an employee is found to have configured such settings, they will receive a series of email warnings asking that the settings be removed within a grace period. Escalation steps include notification of the employee&#8217;s supervisor, and subsequent notification of the Information Security Office and forced removal of the settings.<\/p>\n<h3>Removing mailbox forwarding from your account<\/h3>\n<p>Mailbox forwarding send\u00a0<em>all<\/em> email received by an account to another address. You can review and remove this kind of forwarding by looking in the account settings under <em>Mail<\/em> and\u00a0<em>Forwarding<\/em>.
