These services include access to tools like Outlook, OneDrive, Teams, and the Office suite. However, these licenses come at a cost, and we are working to ensure that our licensing strategy is both sustainable and aligned with the university’s mission. The two primary license levels are described briefly below.

A3 License

Assigned to most active employees and students. Features include:

Access to Microsoft 365 online services

Desktop versions of MS Office 365 applications

100 GB Email mailbox quota

Up to 1 TB OneDrive storage

A1 License

Assigned to former or less active affiliates (Temporary, Affiliated Organization Employees, Non-salaried faculty, Retirees, and others). We determine this by looking at your email forwarding status. If you are forwarding all of your mail to an LCOM account, we will reduce your UVM license to an A1.

Active Retired Faculty

Retired employees receive a Microsoft 365 A1 license. Emeriti Faculty needing continued access to Microsoft 365 A3 license may apply for Active Retired Faculty status through a formal process described here:

UVM Retired Faculty Software Access Guidelines.

For Emeriti Faculty, this option is preferred over the exception process described below.

Access Office applications with an A1 license

Employees with A1 licenses can access the web versions of Microsoft Word, Excel, PowerPoint, and Outlook, as well as other web-based applications. The Microsoft Teams desktop application should be accessible as well.

Go to https://portal.office.com and click Apps in the left sidebar.

If an employee with an A1 license needs to use a desktop version of Microsoft Office applications, they can use the Virtual Desktop Infrastructure (VDI). Information on accessing VDI can be found here:

UVM VDI – Sign in, Install, and Troubleshooting – UVM Knowledge Base

Exceptions

If you believe you need an A3 license but currently have an A1, you may request an exception through the following form: https://go.uvm.edu/m365licenserequest

Manager Approval Required: As part of our approval process, your manager will automatically receive a request to validate your submission.

Maximum Duration: The maximum timespan for which we currently offer exceptions is one year. You will receive a notification before your license exception expires, and you can request a new exception at that time.

See Also / Related articles

Graduating or Leaving UVM

Microsoft 365 Licensing, Installation, and Activation

Comparison of Microsoft M365 Education Plan Features [Microsoft]

UVM provides Microsoft 365 services to active employees and students through a long-standing campus-wide agreement.
