Transition to Exchange Online

As of Spring 2023, UVM is in the process of migrating affiliates’ mailbox accounts from locally hosted (or “on-premises”) Exchange servers to Microsoft’s cloud-based Exchange Online service. This article contains information that will be helpful to know as you make this transition.

Mail and calendar available at mail.uvm.edu

Depending on which mail client you use, being migrated could cause a disruption of service in that application. We have outlined some solutions below. You can continue to access your email at https://mail.uvm.edu/, which will redirect to Microsoft’s office.com service after your account move.

Outlook on the Web

URL

You will still access Outlook on the Web by navigating to mail.uvm.edu, but you will be redirected to outlook.office.com after you sign in.

Interface

The new Outlook web interface will have updated visuals and functionality. We are in the process of updating our Knowledge Base articles to include instructions for Outlook on the web in Exchange Online.

Desktop Mail Clients

Outlook for Microsoft 365 on Windows

Outlook will prompt you to restart the program. Upon restarting, your account will connect to Exchange Online.

Outlook for Microsoft 365 on macOS

You may see the following message:

Select the Allow button. If Outlook remains disconnected, restart the application.

Mailbox Remains Disconnected

If your mailbox remains disconnected after following the steps above, see Outlook on MacOS disconnected and won’t re-authenticate under Potential Issues for further guidance.

Older Outlook Version (2016, 2019)

Please consider updating to Office 365

Access to some Exchange Online features may be limited for Office 2016 and Office 2019 users. 

Office 2016/2019 users on both macOS and Windows may need to remove and re-add their UVM Exchange accounts:

Default Mail app on macOS

If your mail or calendar appears disconnected, you may need to remove and re-add your account. Please see the articles below for guidance:

Thunderbird (or other IMAP client)

Thunderbird not recommended

Thunderbird is not the recommended mail client at the University of Vermont. For the most up-to-date support and software, we recommend Microsoft Outlook.

You will need to update your Thunderbird settings to the ones listed under Exchange Online Settings in the following article: Adding a UVM Account to Thunderbird

After you’ve updated to the new settings, you should restart Thunderbird. If prompted, sign back in.

If your account remains disconnected after updating Thunderbird with the new settings and restarting the program, try removing and re-adding your account.

Offline Thunderbird Folders

If you have offline mailbox folders, ensure you’ve backed those up before removing/re-adding your account.

Mobile Mail Clients

Android or iOS

Reconnect EAB Navigate

Authorize EAB Navigate Calendar Sync

Users who advise through EAB Navigate will need to enable calendar syncing between Exchange Online and EAB Navigate by authorizing access to Office 365.

To do this, log into EAB Navigate: http://uvm.campus.eab.com/

Then click the Blue Authorize Office 365… button on the main page:

Potential Issues

Temporary loss of Send On Behalf/Calendar Delegation

Accounts migrated to Exchange Online cannot perform send on behalf or calendar delegation tasks for On-Premises mailboxes/calendars. Once both accounts are migrated to Exchange Online, this capability will return.

Drupal/Published Calendars - Republish your Calendar

Publishing Range and Visible Information settings

The publishing range and/or information availability settings may need to be changed on your calendar after republishing. Please contact helpline@uvm.edu to request any necessary changes.

If you have a Drupal calendar or have published a calendar from an Exchange account you manage, you’ll need to republish the calendar in Exchange Online.

We’re working on updating documentation to include steps specific to Exchange Online, but the process should still be similar to our current Calendar Publishing guide.

Outlook on MacOS is Disconnected and Won't Re-Authenticate

If your Outlook on MacOS is disconnected but doesn’t prompt for credentials and won’t reconnect after restarting the application, we recommend the following:

Add Your Account as a New Account:

  1. Click on Outlook > Settings.
  2. Select Account Settings.
  3. Click the plus ( + ) button at the bottom left of the Account Settings panel.
  4. You’ll receive a prompt to enter your email address. Enter your UVM email address in NetID@uvm.edu format
  5. On the Exchange account settings screen, enter the following information:
    Method: Username and Password
    Email Address: NetID@uvm.edu
    Domain\username: NetID@uvm.edu
    Password: your_uvm_netid_password
    After entering your account information, click on “Add Account“.

    Please note

    It is critical that you enter your NetID@uvm.edu in both the Email Address and Domain\username fields. Entering firstname.lastname@uvm.edu or just your NetID will result in errors.



  6. Your UVM Exchange account is now added to the Outlook mail client. Click the “Done” button to exit the account setup wizard.

Confirm Newly Connected Mailbox Reflects the Disconnected Mailbox

Disconnected Mailbox's Outbox Folder Contains Items

If your mailbox is disconnected, check your Outbox and Draft folders to ensure no items were created while the account was disconnected. This may occur when your account completes its migration to Exchange Online, but a reply or message was sent from a now disconnected Outlook session. This behavior will typically present as items “hanging” in the disconnected mailbox’s Outbox folder.

  1. Check the Outbox folder (This folder will appear at the top of your folder hierarchy only if you have items contained in it):
    1. If the folder appears and has items, select each pending email (ctrl+click each item, or select the top item, then shift+click the bottom item).
    2. Drag those emails to the newly connected mailbox’s Draft folder.
    3. Resend those emails from the connected account.
  2. Check the Drafts folder:
    1. If you have items in your draft folder that aren’t saved in the newly connected mailbox, copy them over to your newly connected account’s Draft folder
    2. Ctrl+Click each item, or select the top item, then shift+click the bottom item
    3. Drag those emails to the newly connected mailbox’s Draft folder.
    4. Resend those emails from the connected account.

Remove the Disconnected Account

  1. Click on Outlook > Settings
  2. Open Account Settings
  3. Click on the disconnected mailbox, then select the minus ( ) button at the bottom left of the Account Settings panel.

Your request can't be completed right now - mail.uvm.edu

If your mailbox transitions to Exchange Online while you are currently in an active session within the old on-premises OWA, you will experience disconnection errors when accessing unloaded content or attempting to send mail.

To resolve this issue, refresh the page or close the current session and reopen https://mail.uvm.edu.

If you are receiving a 500 Something went wrong error within outlook.office.com, please click the button to Refresh the page:

Something went wrong - mail.uvm.edu

If you are receiving an error when accessing https://mail.uvm.edu, please clear your cache and cookies by following our KB Guide: Clearing Cache and Cookies

Make sure to fully close your browser before re-opening it and trying again. If this does not resolve the issue, please contact the UVM Tech Team.

Teams calendar not showing up

If your calendar in the Teams client is not showing up, try signing out of Teams and back in. If that doesn’t work, try clearing your Teams cache using these instructions:
