{"id":22369,"date":"2022-03-08T12:31:25","date_gmt":"2022-03-08T17:31:25","guid":{"rendered":"https:\/\/www.uvm.edu\/it\/dev\/kb\/?post_type=ht_kb&#038;p=22369"},"modified":"2024-07-05T15:56:41","modified_gmt":"2024-07-05T19:56:41","slug":"anonymous-sharepoint-sharing","status":"publish","type":"ht_kb","link":"https:\/\/www.uvm.edu\/it\/dev\/kb\/article\/anonymous-sharepoint-sharing\/","title":{"rendered":"SharePoint Online &#8211; Anonymous Access to Files and Folders"},"content":{"rendered":"<p><span style=\"font-size: 16px; font-family: Roboto;\">By default, files and folders stored in a <strong>SharePoint Online<\/strong> site&#8217;s document library can only be shared with UVM affiliates or guests\/external collaborators that are explicitly added as members of the SharePoint site. <\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">In cases where specific files or folders need to be made anonymously accessible for convenience, cross institutional collaboration, or as part of a research partnership, site owners may request that\u00a0<strong>sharing with anyone<\/strong> be enabled for their site.<\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">    \t\t<div class=\"hts-messages hts-messages--info  hts-messages--withtitle hts-messages--withicon \"   >\r\n    \t\t\t<span class=\"hts-messages__title\">In Microsoft Teams, a team and its channels have an associated SharePoint site<\/span>    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\t<\/span><\/p>\n<ul>\n<li><span style=\"font-family: Roboto; font-size: 16px;\">To share\u00a0<strong>ALL<\/strong> site content to an external user, <a href=\"https:\/\/www.uvm.edu\/it\/kb\/article\/microsoft-teams-getting-started\/#inviting-an-external-user-to-a-team\">invite them as a member to the team<\/a> or add them as a member of the SharePoint site.<\/span><\/li>\n<li><span style=\"font-family: Roboto; font-size: 16px;\">To <strong>anonymously <\/strong>share specific files or folders, follow the instructions below.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t<\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">    \t\t<div class=\"hts-toggle  \"  >\r\n    \t\t\t<div class=\"hts-toggle__title\"><h3>Enable Sharing with Anyone for your Site Content<\/h3><\/div>\r\n    \t\t\t<div class=\"hts-toggle__content\">\r\n    \t\t\t\t<div class=\"hts-toggle__contentwrap\">\r\n    \t\t\t\t\t<p><\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">    \t\t<\/p>\n<div class=\"hts-messages hts-messages--alert  hts-messages--withtitle hts-messages--withicon \"   >\n    \t\t\t<span class=\"hts-messages__title\">You must be a site owner to request this option<\/span>    \t\t\t    \t\t\t\t<\/p>\n<p>\n    \t\t\t\t\tThis setting is configured by our <strong>Microsoft Technologies administrators<\/strong>\u00a0and is enabled on a site-by-site basis.    \t\t\t\t<\/p>\n<\/p><\/div>\n<p><!-- \/.ht-shortcodes-messages --><br \/>\n    \t\t<\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">A site owner can submit a request to enable sharing with anyone using this form: <a href=\"https:\/\/www.uvm.edu\/it\/kb\/external-sharepoint-sharing-request\/\" target=\"_blank\" rel=\"noopener\">SharePoint Online &#8211; External Sharing Request<\/a><\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\"><\/p>\n    \t\t\t\t<\/div>\r\n    \t\t\t<\/div><!-- \/ht-toggle-content -->\r\n    \t\t<\/div>\r\n    \t\t<\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">    \t\t<div class=\"hts-toggle  \"  >\r\n    \t\t\t<div class=\"hts-toggle__title\"><h3>Creating an Anonymous link to a File<\/h3><\/div>\r\n    \t\t\t<div class=\"hts-toggle__content\">\r\n    \t\t\t\t<div class=\"hts-toggle__contentwrap\">\r\n    \t\t\t\t\t<p><\/span><\/p>\n<p><span style=\"font-size: 16px; font-family: Roboto;\">    \t\t<\/p>\n<div class=\"hts-messages hts-messages--info  hts-messages--withtitle hts-messages--withicon \"   >\n    \t\t\t<span class=\"hts-messages__title\">Looking to share multiple files? If the option to block downloading is toggled on, you can&#8217;t allow editing.<\/span><\/li>\n<li><span style=\"font-size: 16px; font-family: Roboto;\"><strong>Open in review mode only\u00a0<\/strong>limits people to only leaving comments and making suggestions to the file. You must allow editing to enable this setting.<\/span><\/li>\n<li><span style=\"font-size: 16px; font-family: Roboto;\"><strong>Set expiration date<\/strong> lets you set a date for the link to expire. After the date, the link won&#8217;t work anymore, and you&#8217;ll need to create a new link for users requiring access to this file.<\/span><\/li>\n<li><span style=\"font-size: 16px; font-family: Roboto;\"><strong>Set passwords<\/strong> lets you set a password for access to this file. When a user opens the link, they will be prompted for the password. Passwords should be shared using UVM Password Pusher: <a href=\"https:\/\/go.uvm.edu\/pwpush\">go.uvm.edu\/pwpush<\/a>.<\/span><\/li>\n<li><span style=\"font-size: 16px; font-family: Roboto;\"><strong>Block download<\/strong> prevents people from downloading this file.
