Post-Recognition Packet

Advertising:
There are many advertising opportunities at your fingertips at UVM, please utilize them to the fullest to get your clubs name out to the most people as possible. If you have an upcoming event please let Student Activities know the date, time and brief description of the event so we can submit the information to our various sources of publicity (please write events on your monthly report forms also). Please feel free to use whatever means of publicity that you would like (as long as they do not break any university or SGA policy).

Advisor Requirements:
One of the required requirements for recognition was to find an advisor, who will best suit the function of your club. Your advisor should attend club meetings, give council, and be an active member of the club.

The Student Activities Committee is requesting from your advisor a letter of recommendation for your club. The letter's content should express the willingness of the advisor to be a part of the club, show that they understand how they will be bound to the club.

It is suggested that your advisor takes knowledge and refers to the advising packet, "The Role of a Student Organization Advisor", edited by the Student Activities Committee. It can be found in the SGA Office on the 1st floor of Billings.

It is the Presidents responsibility to contact the Students Activities Committee of any changes of Advisors, please have the new advisor write a letter stating his/her involvement in the club.

Club Space:
As you may already know there is limited space for clubs on UVM campus, however there are opportunities to be had. Many clubs have found homes in various places around campus and we encourage you to contact facilities to find a classroom or common area that is suitable for your club. Currently the club space is being renovated, but as soon as it is done we hope it will house a number of clubs and have space left over for any club to hold meetings in. All club space is given out on a need driven basis, if your club is interested in space please contact Student Activities and set up a time to meet. We will interview your club and render our decision based on space available and your club's need.

Constitutions:
If your club has been around for a number of years then you may have an old and out of date constitution. if you think that may be the case please come in and revise your old constitution so that it meets the current standards of a club's constitution. The current guidelines can be found in the Club Recognition Packet.

Fundraising:
Each club must fundraise a total of $75.00 per year. Please refer to the treasurer's manual for more information about fundraising. Clubs that fundraise often fare better during budget hearings than those clubs that do not, and are highly regarded by the SGA as a whole. Some ideas for fundraising would be raffles, bake sales, t0shirt sales (though if you plan on selling anything with a trademark of the university's on it then you must go through licensing) or car washes. If your club is having trouble fundraising please don't hesitate to ask your Student Activities Committee for advise or help.

Listserves:
Mailing Lists are a means of distributing information to defined lists of users via email. Lists often are used as forums for the discussion of special topics.

To create your own listserve for your club, you may want to check CIT (Computing & Information Technology) services. Feel free to check out their website at list.uvm.edu.

Members:
Members include all undergraduates' enrolled UVM students and Graduate Students who accept to pay the $50 activity fee. Those who are not eligible members are not allowed to participate in an organization's activities. However, as stated in Article VII, Section 2, subsection B: "Should a student organization wish to justify a temporary non-student role (as in an instructional function) they may petition the Student Activities Committee for approval." Programming:
A programming guide has been compiled by Student Life to ease the process of planning and executing an event, if you would like a guide please come into the SGA office and pick one up.

Table Ideas:
When presenting your club it is a great idea to have a table with what your club does clearly defined. Any sort of recruiting information or fundraising that you are currently doing, what the club has accomplished in the next years, what the clubs goals are, and a list of members is great to have visible at activities fairs and programs of that sort. Clubs often give away candies or other inexpensive free items to attract people to their table. Have fun with this and be creative!

The Monthly Report Form:
It is incredibly important that you fill this sheet out and return it by the 5th of every month for the previous month's club activities. The paper is self-explanatory; include all necessary information and what you would like the SGA to post like upcoming events, great things the club has done etc. Make sure this is done by the 5th of each month, not filling out monthly report forms is the easiest way to be derecognized by the SGA. You do not have to fill out a monthly report form for months that school was not in session (September for the month of August), but all months that classes were in session please turn one in to the SGA office. Put all monthly report forms in the Student Activities mailbox.

Van Rental:
Clubs can rent vans through the SGA. Vans must be reserved at least four weeks in advance. Clubs can not reserve earlier than 4 weeks and reservations after 4 weeks are sparse. All drivers must attend UVM Risk Management Driver Training and have their motor vehicle record checked before being authorized to drive. Call Risk Management at 6-3242 to find out the next available time to be trained. Clubs can also order Thrifty Vans. Drivers of Thrifty Vans must also be authorized to drive through Risk Management. You can contact thrifty at 863-5500.
