Archival digital copy policy

Currently each performance has a photo shoot scheduled during the final dress rehearsal on Wednesday prior to the opening of each production. This shoot will provide the department with digital copies, which can then be used for archival purposes, promotional purposes as well as portfolio materials. This photo shoot is scheduled by the department using the talents of a professional photo journalist. No other photographers are permitted on sight without previous permission granted by the Marketing Director and the Chair of the department.

On the occasion that this session does not meet the needs of the production or the Marketing Director, an additional photo shoot will be scheduled. This photo shoot will be determined no later than the Wednesday before closing of the production. Images are taken of scenes chosen in advance by the Production Director, Chair, and/or Marketing Director. Usually no more than 12 set-ups are chosen which if seen together would communicate the style and production values of the show. Images of certain costumes worn by performers can be taken during this photo shot, as well as specific scenery and lighting set-ups. This photo shoot is always scheduled for noon on the day of the final performance. This photo shoot should last no longer than one hour to allow time for warm ups before the 2:00 p.m. performance.

Performers and crew members are asked to behave in such a way which will promote a cooperative, efficient photo shoot: be on time for call, don't leave the theatre unless directed to do so, take care while making costume changes as quickly as possible, ask for help when needed, no extraneous talking in the theatre during the photo shoot, no food or drink in the theatre, remember which props and set pieces are needed during a scene, and please show respect for everyone involved in the photo shoot. This level of participation from the performers and crew is greatly appreciated.

These images are vital to the department. Among other things they are used for future promotions of our productions and our department website. These digital records may also be used during classroom lectures and lobby displays.

All digital records are located in the marketing office and one must obtain permission from the Marketing Director before using. Originals are not permitted to leave the building. All arrangements for copies must be coordinated with the Marketing Director.
