Transition to Retirement

Employee Responsibilities

Faculty and staff planning to retire must make preparations to ensure a smooth transition. Below is a general overview of employee responsibilities.

Step 1:  Ensure that you are eligible to retire with benefits from the University.

Step 2: Notify your supervisor.

  • Advanced notice of your retirement allows your supervisor sufficient time to address these critical issues:
    • Transfer of knowledge and responsibilities.
    • Confirmation of the use of vacation time, if appropriate.
    • Collection of UVM property, e.g. keys, computer and equipment.
    • Recruitment and/or reorganization of departmental resources.

Step 3:  Contact Human Resource Services.

  • Contact Human Resource Services at 802-656-3150 or to schedule a meeting with the Benefits Advisor to discuss UVM benefit eligible retirements.
  • The intent of this meeting is to ensure that you have all the information you need before you retire. This will include a:
    • Review of your benefits and your cost-shares in retirement.
    • Discussion of your responsibility to secure Medicare coverage for you, your spouse and/or dependents.
    • Discussion of the coordination of Medicare with UVM supplemental medical insurance.

Step 4: Provide an “intent to retire date.”

  • Provide your supervisor with a letter of resignation/retirement.
  • Notify the Benefits Advisor once you have determined your retirement date.
  • The Benefits Advisor will provide you with the “Retirement Worksheet” to confirm your eligibility for retirement benefits.
  • Provide this worksheet to your supervisor or business manager in order to ensure your benefits are in place at retirement.

Step 5:  Contact your retirement savings account vendor(s). It is imperative to communicate a plan for the distribution of your retirement savings account:

  • Request a form to stipulate directions for your account
  • Forward forms to HRS for signatures

Step 6: Change your e-mail settings. As a retiree, your e-mail address will remain active. The University suggests that you configure a vacation notification for a period of time following your retirement.

  • Visit the Account Management website:
  • Configure a Vacation Notification message alerting the sender to your retirement and suggest where work-related e-mail should be sent

Step 7: Visit the Retiree Resources website. This page connects retirees to information they frequently request. It is designed as a link to news and information of interest to UVM retirees.

Supervisor/Department Responsibilities

Supervisors or department administrators must take the following steps to ensure a smooth transition for employees retiring:
Step 1: Direct employee to retirement resources

  • Once the employee indicates they may be retiring from UVM provide the employee with information on how to transition into retirement (see above).

Step 2: Submit ePAR

  • Once the employee has provided their letter of resignation/retirement and the Retirement Worksheet (provided to them by a Human Resource Benefits Advisor) a separation ePAR should be submitted (Collection/Action/Reason: Separation/Termination without Benefits/Retirement.)

Step 3: Collect UVM property

  • All UVM property (e.g., keys, computer, equipment) should be returned.
