Pivot Tables for PeopleSoft (Advanced Level)

Format: Demonstration, Hands-on Practice, Large-Group Discussion, Pre-Work
Instructor: Tara Messier
Target Audience: Experienced Excel users who wish to learn tools to enhance their PeopleSoft and Excel experience
Time Allotted: 3 hours

Rationale: Understanding how to effectively use advanced features available in Excel allows you to quickly and efficiently manipulate large amounts of data. By utilizing Pivot Tables and other advanced Excel features, you will be able to create impressive reports with very little time and effort. This course will give you the tools to make data manipulation quick and easy, thereby enabling you to spend time on other tasks.

Overall Objectives: At the end of this class you will be able to customize PeopleSoft report data and other data in Excel for use in your office.

Specific Objectives/Skills:

  • Create basic pivot tables in Excel 2010
  • Use more advanced features to customize pivot table data
  • Construct simple VLOOKUPS
  • Practice skills utilizing PeopleSoft report and query data

Prerequisites: This is an advanced level class. Participants should be able to comfortably and independently navigate Excel 2007 or Excel 2010. All participants must complete a self-assessment of Excel skills in order to ensure correct placement.  Assessment tools and full information will be sent upon registration. Excel 2007 or Excel 2010 must be installed on your computer to participate in the class.

Due to the large amount of material to cover, there will be pre-work that should be completed outside of the workshop time. Completing the pre-work will ensure your success in the class. Ample time will be given for the completion of this assignment.

Creating and Managing Requisitions (Mid-Level)

Format: Demonstration, Hands-On Practice, Q&A
Instructor: Aaron Fay
Target Audience: Individuals who have responsibility for purchasing or managing the process of attaining goods and services for The University of Vermont.
Time Allotted: 2 hours

Rationale: Employees charged with purchasing goods and services for the University have a unique responsibility in ensuring day-to-day operations run smoothly and efficiently. The Requisitions function in PeopleSoft enables employees and procurement professionals to accurately and conveniently manage the process. Information about vendors, payments, billings and budgets is maintained via this PeopleSoft module.

Overall Objectives: To empower employees to manage their responsibilities in a logical and efficient manner through the use of the PeopleSoft Requisitions module.

Specific Objectives/Skills:

  • Understand and explain the UVM purchasing process
  • Navigate the requisitions module in PeopleSoft
  • Create requisitions in PeopleSoft
  • Manage existing requisitions in PeopleSoft
  • Locate purchase order and payment information

Prerequisites: This mid-level class does not require a prerequisite; however, effectively maintaining a working knowledge of UVM Chartfields is recommended. To learn more about Chartfields, reference the Chartfield Values (Chart of Accounts) mini-manual on the HRS Learning Services website.

Basic Excel (Basic Level)

Format: Demonstration, Hands-On Practice, Q&A, Pre-Work
Instructor: Benny Cole
Target Audience: This class is designed with the beginning or basic user in mind.
Time Allotted: 3 hours

Rationale: Effectively organizing and managing data is an increasingly valuable skill that can be applied immediately in most jobs at UVM. Learning to use MS Excel is a great first step in building or improving your capability in analyzing and understanding information. This class covers the most basic aspects of becoming familiar with and starting to use the software package.

Overall Objectives: To instruct basic users on how to enter, format and manage data in MS Excel.

Specific Objectives/Skills:

  • Format the data as text, numbers, currency, etc.
  • Format tables to better manage the data
  • Create various charts and graphs
  • Select pre-defined templates for organizing data

Prerequisites: Excel 2007 or Excel 2010 must be installed on your computer to participate in the class.

Due to the large amount of material to cover, there will be pre-work that should be completed outside of the class time. Completing the pre-work will ensure your success in the class. Ample time will be given for the completion of this assignment.

Journal Tips (Mid-Level)

Format: Demonstration, Hands on Practice, Q&A, Prerequisite
Instructor: Henrietta Menzies
Target Audience: UVM administrative staff, business managers, financial managers and individuals with a working knowledge of PeopleSoft journals.
Time Allotted: 2 hours

Rationale: Having knowledge of these tips and timesavers equips users to work more efficiently with journals.  Using shortcuts and tools such as speedtypes decreases keyboarding errors and increases productivity.

Overall Objectives: Gain tools and tricks to have a deeper understanding of the journaling process and work more efficiently with journals in PeopleSoft.

Specific Objectives/Skills:  

  • Customize journals by: changing column order and saving search criteria
  • Learn tricks for efficiency including: the replace feature, notifying users, and viewing more lines
  • Understand how speedtypes can increase efficiency in journal entry
  • Understand Fund Balancing and how to work with projects in a journal

Prerequisites:  This mid-level class is for employees who have a solid grasp of the journaling process in PeopleSoft.  It is highly suggested that participants become familiar with the Journal Entries and PurCard Reallocation Process mini-manuals prior to attending this class.

Excel for PeopleSoft (Advanced Level)

Format: Discussion, Demonstration, Q&A
Instructor: Tara Messier
Target Audience: Experienced Excel users with questions about how to efficiently manage data in Excel.
Time Allotted: 2 hours

Rationale:  Participants will bring an issue with a spreadsheet or a data challenge to class, and the instructor will attempt to provide a solution.

Overall Objectives: At the end of this class you will have a greater understanding of the possibilities in Excel related to PeopleSoft data management.

Specific Objectives/Skills:

  • Understand advanced Excel procedures
  • Generate solutions to your PeopleSoft data issues

Prerequisites: This is an advanced level class. Participants must be able to comfortably and independently navigate Excel 2007 or Excel 2010. Participants must come to class with a spreadsheet and a data challenge for the instructor to attempt to solve.

Financial Investigatory Tools (Mid-Level)

Format: Demonstration, Hands on Practice, Large-group Discussion, Q&A, Prerequisite
Instructor: Henrietta Menzies
Target Audience: UVM administrative staff, business managers, financial managers and individuals with a working knowledge of PeopleSoft Financials.
Time Allotted: 2 hours

Rationale: Queries and inquiries allow administrators to research issues and discrepancies encountered within reports. The focus of this training is to build on basic knowledge of Financial Reports and to utilize more advanced methods for retrieving to provide a full picture of transactions in the system.

Overall Objectives: Gain a solid understanding of using advanced financial reporting tools for troubleshooting in PeopleSoft.

Specific Objectives/Skills: Understand how to run inquiries and queries in the following areas:

  • Accounts Payable
  • Budget
  • Expenses
  • Journal
  • Ledger 
  • Purchasing

Prerequisites:  This mid-level class is for employees who have a solid understanding of the basics of financial reporting in PeopleSoft.
