Configuring Apple Mail for use with the UVM Mail System

Configuring Apple Mail for use with the UVM Mail System

In order to use Apple Mail you must perform several simple configuration tasks. Note that there are some subtle differences (marked in red) between OS X 10.4 Tiger settings and OS X 10.3 (Jaguar) or 10.2 (Panther).

Our instructions make several assumptions:

  • You are using a Mac OS X operating system
  • You are starting your Mac for the first time
  • This is the first time you have configured Apple Mail
  • You are a UVM Affiliate and have activated your Network ID (Zoo account) (see http://www.uvm.edu/account/ if you have not done this yet).
  • You know your Email 'Alias' (the 'Firstname.Lastname' version of your account name).  You can look this up at http://www.uvm.edu/people/

In the instructions, we will use the phony University affiliate name "Myron Kapoodle".  Be sure to use your name and account information and not Myron's.  For clarification, Myron's full name is "Myron Kapoodle", his Network ID (Zoo account name) is "mkapoodl", and his Alias is "Myron.Kapoodle".

If this is the first time you have turned on your Mac you will be prompted with a "Set Up Mail" screen. Use the following information to fill in the fields as you are prompted:

Field  name

You should enter

For example

Email Address:

Your email address

Myron.Kapoodle@uvm.edu

Incoming mail server:

imap.uvm.edu

imap.uvm.edu

Mail server type:

imap

imap

User account ID:

your Network ID (Zoo username)

mkapoodl

Outgoing mail (SMTP) server:(see below for more about smtp.uvm.edu server settings)

smtp.uvm.edu

smtp.uvm.edu

Once your system is up and running, start Apple Mail from the dock:

Choose No when prompted to Import Mailboxes:

Click Mail, then Preferences..., Accounts, and Edit. On the Advanced tab, make sure to check mark the Use SSL box then in the Account Prefix field type in mail/ (make sure to include the "/"! if you are using MacOS 10.3 or earlier)

If you are using MacOS 10.4 (Tiger) or later, specify the IMAP Path Prefix as mail (without the backslash "/"):

Click OK and close the window. You should now be able to send and receive your UVM email using Apple Mail.

About SMTP settings and sending mail from home

You don't  need the VPN to use Apple Mail from home . That you might is another one of those "IT myths" that gets spread around.

It's all a matter of configuring Apple Mail properly.

Apple Mail Account Preferences should look something like this:

This tab panel is pretty much standard:

This is, too

Here's where the first bit of magic lies: as long as you use the SSL connection, you do NOT need to mess with the VPN to RECEIVE mail. Sending is a little different (keep reading)

If you are using MacOS 10.4 (Tiger) or later, specify the IMAP Path Prefix as mail (without the backslash "/").

OK, now for SENDING mail. Back to the "Account Information" tab, to set up the Outgoing Mail Servers.

You need to set up an authenticated server. The secret here is just like that used for receiving -- use SSL encryption. Check the Use SSL box, and change the port to 587. Enter your NetID and associated password, click OK.

Of course, use your own NetIDs for all of the above.

Now, back to the Account Information tab: choose this authenticated server as the default SMTP server -- it will have a colon (:) and your NetID appended to it:

Now, with the above settings (i.e., using the authenticated server as the default), one can send and receive mail just fine FROM HOME or ON CAMPUS without using that pesky VPN.
