Reappointment, Promotion and Tenure (RPT) Process

Overview and Key Dates 2014-15

PLEASE NOTE:  All of the instructions and forms listed below link to the Provost’s “Reappointment, Promotion and Tenure Guidelines and Forms” webpage.

*DEADLINES: Several CAS deadlines for RPT submissions are earlier than the deadlines posted on the Provost’s website.  Please see the detailed CAS schedule below under “Important RPT Deadlines.”

TYPES OF REVIEW
University-level review (Dossiers are reviewed by the Department and Chairperson, CAS Faculty Standards Committee (FSC), CAS Dean, Professional Standards Committee (PSC), and Provost):
  • TT faculty up for promotion and/or tenure or second reappointment; FT Lecturers up for promotion to Senior Lecturer; FT or PT research faculty up for promotion. Candidate and chair follow the green and blue sheet instructions as appropriate and complete the green sheet form. Non-tenure-track faculty applying for promotion must also complete the Non-Tenure-track Supplement. Chair uploads all documents for the dossier to Sharepoint and submits hard copy to Dean's Office by November 15 (see detailed schedule).
College-level review (Dossiers are reviewed by the Department and Chairperson, CAS Faculty Standards Committee (FSC) and CAS Dean):
College-level reappointment review (Recommendation/non-recommendation for reappointment (with brief rationale) provided by Department Chair to CAS Dean):
  • Non-TT faculty up for reappointment, in accordance with Reappointment Review schedule determined by Dean's Office. Chair completes pink sheet form and submits hard copy only to Dean's Office by November 1 or February 1 (see detailed schedule).
IMPORTANT RPT DEADLINES

Following are the latest possible dates by which each task must be completed:

November 1 Dossiers for non-TT faculty requiring Formal Peer Review and Dec. 15 notice of reappointment/non-reappointment due on Sharepoint and in Dean's Office (hard copy)
November 1 Dossiers for Promotion to Lecturer II or III due on Sharepoint and in Dean's Office (hard copy)
November 1 Dossiers for University-level review must be "closed"** in preparation for department review. Note that following this review, the Chair must do an assessment of the candidate and provide a copy of the written statement to the faculty member. Faculty member may add written rebuttal to the file within seven days from the date the chair's statement was delivered; at this time s/he may also write a rebuttal to any outside evaluators' comments.
November 1 Forms for non-tenure-track faculty undergoing fall pink sheet review due in Dean's Office.
November 15 Dossiers for University-level review due on Sharepoint and in Dean's Office (hard copy).
December 15 Notice of reappointment/non-reappointment sent to FT non-TT faculty undergoing fall Formal Peer Review and decisions sent to lecturers up for promotion to Lecturer II or III (with copy of FSC and Dean's comments)
January 15 University-level review dossiers due to Provost from CAS Dean's Office
January 15 Dossiers for non-TT faculty requiring Formal Peer Review and March 1 notice of reappointment/non-reappointment must be "closed"** in preparation for department review
January 22 Copy of FSC and Dean's comments sent to candidates undergoing University-level review. Note: The candidate has ten (10) days from the date the dean's statement is delivered by email or by hand to add a written rebuttal to the file.
February 1 Dossiers for non-TT faculty requiring Formal Peer Review and March 1 notice of reappointment/non-reappointment due on Sharepoint and in Dean's Office (hard copy)
February 1 Forms for non-tenure-track faculty undergoing spring pink sheet review due in Dean's Office.
March 1 Dossiers for TT faculty undergoing first-reappointment review and PT lecturers up for promotion to Lecturer II or III due on Sharepoint and in Dean's Office (hard copy)
March 1 Notice of reappointment/non-reappointment sent to non-TT faculty undergoing spring Formal Peer Review (with copy of FSC and Dean's comments)
March 15 University-level review of RPT dossiers completed by PSC; dossiers move on to Provost
April 25 Provost's RPT decisions communicated to Deans
May 1 RPT decisions for University-level reviews sent to faculty by CAS Dean's Office (with PSC and Provost's comments). The faculty member has ten days after receipt of the notice to submit a rebuttal, or 15 days after receipt to withdraw his/her request for RPT action. TT faculty first-reappointment decisions and any PT lecturer promotions (with copy of FSC and Dean's comments) are also sent to faculty at this time by the CAS Dean's Office.

**Prior to review by departmental/unit faculty the dossier is deemed to be "closed." As such, material in the dossier will be neither removed nor replaced as the dossier progresses through the various levels of review. (CBA Article 14, Section 5.f.ii)

Additional material may be added to the dossier only under the following guidelines:

  • The only "additional material" that may be submitted is an update on a change in status or achievement relevant to documents already submitted or referred to in the dossier, such as an article accepted for publication that is referred to as under review, or a grant being funded. Such material may only be submitted prior to March 15, the time that the Provost initiates review. Such material shall be submitted to the Dean who shall ensure its placement in the dossier.
  • Material that provides evidence to support a claim in the rebuttal and that was not submitted in the original dossier may be attached to and submitted with the rebuttal.
  • Additional submissions and rebuttals will be added as identified attachments to the dossier, such as a tab or site labeled "rebuttal" or "additions." The main dossier, once submitted, may not be changed. (CBA Article 14, Section 5.f.vi)
