Termination Checklist
Termination/Separation Procedures
Wages Employees
- Complete the Termination Form on the Human Resources website.
- Send an e-mail to payroll@uvm.edu notifying them that the temporary employee will no longer be submitting hours.
Graduate Students
- Complete the Termination Form on the Human Resources website.
- Submit a terminating Personnel Action Change Form and the individual's Distribution Form (run via PeopleSoft) to the Dean's Office.
Classified Staff
- Complete the Termination Form on the Human Resources website.
- Submit a resignation letter, a terminating Personnel Action Change Form, and the individual's Distribution Form (run via PeopleSoft) to the Dean's Office.
- Calculate vacation hours owed and note this total on the Personnel Action Change Form (the PeopleSoft system will not automatically calculate this).
- Indicate an end date on the Distribution Form.
- Send an e-mail to CAS Computing Services and submit a Peoplesoft Footprint to remove system access..
Salaried Faculty
- Complete the Termination Form on the Human Resources website.
- Submit a resignation letter, a terminating Personnel Action Change Form, and the individual's Distribution Form (run via PeopleSoft) to the Dean's Office.
- For 12-month faculty, calculate vacation hours owed and note this total on the Personnel Action Change Form (the PeopleSoft system will not automatically calculate this).
- Indicate an end date on the Distribution Form.
- Send an e-mail to CAS Computing Services notifying them of the termination.
Non-Salaried Faculty
- Complete the Termination Form on the Human Resources website.
- Submit a terminating Personnel Action Change Form to the Dean's Office.
- Submit a resignation letter if one is available (not required).
- Send an e-mail to CAS Computing Services notifying them of the termination.
NOTES:
The last date worked is the termination date.
Graduate Students with an end date of 6/30 will automatically roll forward into the next fiscal year, and payments will continue. Terminating paperwork MUST be filed to stop graduate student payments as of 6/30, if so desired.
Graduate Students with an end date other than 6/30 will automatically be terminated on that end date. However, terminating paperwork should still be filed to ensure that payments are stopped.
