Report Manager Add-On

Select Report Manager from the menu to see its main dialog box where you’ll create, print, edit, and delete reports. To get started with a new report, click Add. You’ll name the report in the section at the top of the next dialog box.

Use the Section To Add section of the dialog box to select pieces of your spreadsheet for inclusion in the report. You can put in sheets, views, or scenarios. (A view is a custom look you design to display data in a certain way. Scenarios show possible outcomes based on varying data.) Our sample spreadsheet includes three different sheets and a couple of scenario summaries, giving us plenty of material to choose from when compiling the report.

The first drop-down menu lists all of the elements in your spreadsheet. Checking the View or Scenario boxes below enables those pull-down lists, letting you pick any of three scenarios, for example, that draw data from the first sheet in your file. Navigate through the lists to choose the element to include first; then click Add. The item appears below in the Sections In This Report box with a name such as “Sheet1, (None), (None)” (that’s the first sheet with no views or scenarios displayed) or “Sheet1, (None), 10% Postage Increase” (that’s the scenario that shows the postage increase based on data pulled from Sheet 1). Keep picking sections and clicking Add until all of the pieces of the report are in place.

Excel prints your report with the sections in the order you entered them, but don’t think you have to start over if you put a section in the wrong spot. Click the section’s name and use the Move Up, Move Down, and Delete buttons to adjust the section’s position. Click the Continuous Page Numbers option at the bottom of the box to give your report cohesive pagination.

Manage & Print Reports

When you finish setting up the report, click OK, and then return to the main Report Manager dialog box to see the name of your new report on the list. It will be saved here until you use the Delete button to get rid of it. You can tweak a report’s contents or arrangement by clicking the Edit button.

To print the report, click its name and Print. Don’t think the program failed if the first page rolls out of the printer and things then go quiet. Report Manager treats the various pages as separate print jobs, so there may be a pause between pages.
