Instructions - New Users
- Click the link to the left to be taken to the web form account creation screen.
- Before you can enter data, you must create a user account for yourself; click on “Create A Username To Enter Data”.
- Use your email address as your username
- In the 'Organization' field, if you are not associated with a school, group, club, etc - please enter "None".
- Fill in your name, organization (school, group, etc.), volunteer type, preferred username (email address), a password, and choose a security question/answer to be used if you lose your password.
- Click on ‘Save’ at the bottom of the page.
- To enter information, refer to the instructions below.

Instructions - Returning Users
- Click on the link to the left to be taken to the web form log in screen.
- At the login screen, enter the username (email address) and password you chose and click ‘OK’ to log in. (You can choose to have the site remember your username/password by clicking the appropriate checkboxes.)
- You are taken to the “Barn Census Ledger” page. If you have previously entered information, you’ll see at the bottom of the screen one entry for each barn surveyed. If this is your first time, that list will be blank.
- Click ‘Create New Census Worksheet’ to enter data.
- The web form is designed to mirror the census worksheet you used in the field. Please consult your paper worksheets and enter the correct information in each corresponding category
- For fields that say “Please Select”, click on the down arrow to see a list of choices and click on your choice to select it. It will then appear in the box.
- For checkboxes, click in the box and a check will appear. To remove a check, click inside the box again.
- For blank, free-entry text boxes, place your cursor inside the box, click, and type your entry.
- Date – For the ‘Date’ field, please enter the date you recorded the information in the field.
- Hours – For the ‘Hours’ field, please enter your estimate for the total of the hours you spent researching, travelling to the site, recording information about the barn, and entering data into the web form.
- Photos – Follow the instructions at the bottom of the page to upload any photographs you’ve taken. Photos can be uploaded from your hard drive, from a disc, or directly from a connection to your digital camera. The ‘Browse’ button allows you to go to the location of your photos, and choose a photo to add. Photos must be added one at a time.
- Please limit each photo to a maximum size of 2 megabytes.
- Please upload no more than 5 photos.
- After you’ve clicked on the ‘Attach Photo/Document’ button, the file will appear in the list at the bottom of the screen.
- For each photo you upload, please enter a Picture #. This can be the number you used to organize your photos or can be your initials/name/organization followed by 1,2,3, etc…
- For each photo you upload, you can enter a Photo Direction. This is the compass direction you were looking toward when you took the photo. Please use an abbreviation: N, SE, NW, etc. If you are not sure, you can leave it blank.
- Viewing your photos – You can click on the link marked ‘View File’ to see the photo you uploaded.
- Saving Your Information – There are three “Save” buttons at the bottom of the screen.
- ‘Save (Keep Working)’ will save what you’ve entered but leave the data entry window open for you to enter additional information on the barn.
- ‘Save (Not Final Yet) will save what you’ve entered and close the window, but will let you come back at a later date and add additional information.
- ‘Save (Final)’ will save the record, close the window, and not allow any further edits or additions.
- Once you’ve saved and returned to the “Barn Census Ledger” screen, you’ll see a list of each property you’ve entered.
- To edit or add information to any of your entries, click on the icon that looks like a green pencil on a piece of paper. (the 2nd icon from the left on each line)
- To delete a record, click on the red ‘X’ next to the proper entry.
Reports – We will be adding the ability for you to print a report which will contain information on every property you’ve entered. The report is being developed and will be available soon.
